This impactful Site Administrative Assistant III position provides valuable and comprehensive support to the Space Enterprise and Warfighting Division (SEWD)/Space Security Directorate (SSD) Principal Director and other managers/MTS within the Directorate, and the larger SEWD when needed. As an integral member of the team and focal point for the directorate, the individual contributes to key business-related decision making, resolves issues quickly, takes ownership of processes and procedures, and works closely with leaders, colleagues and customers to ensure the directorate runs smoothly and meets internal/external time frames.
This position requires regular work in the office, in classified spaces at our Colorado Springs, CO location, and is not compatible with telework.
What You'll Be Doing
  • Providing calendar support for PD and management
  • Managing directorate organization charts
  • Coordinating and completing special projects
  • Tracking action items
  • Collecting and maintaining corporate and customer reports/results (collecting, compiling, editing, and publishing via AeroReports)
  • Collaborating with other SEWD administrative assistants to achieve coverage and increase efficiency
  • Coordinating travel and administering travel expense reports
  • Facilitating corporate administrative processes such as formatting to the Corporate branding standard and editing of internal publications and documentation
  • Coordinating events and complex meetings by reserving conference rooms, resolving visitor or group issues using an understanding of Aerospace policies and procedures; planning for food and/or catering, shopping when needed, coordinating deliveries, set-up, and keeping careful track of landing fees
  • Serving as a Functional Time Administrator (FTA), auditing and processing timesheets, learning and maintaining knowledge of applicable policies
  • Engages in sub-division activities and decisions, with follow-up communications and coordination
  • Improves and ensures effective techniques/systems that provide superior organization, efficiency and industry-lead technical standard processes
  • Leads by training and mentoring admin assistants and is a role model by demonstrating professionalism, team collaboration, technical expertise, and leadership behavior that is consistent with the company's values
  • Regularly interacting with Aerospace senior leaders, and customers.

What You Need to be Successful
Minimum Requirements:
  • Current TS/SCI clearance and the ability and willingness to obtain SAP/SAR accesses, which is issued by the US Government. U.S citizenship is required to obtain a security clearance.
  • Ten years of applicable administrative experience
  • High school diploma or equivalent
  • Excellent verbal and written communications skills
  • Accuracy, organization, dependability, promptness, and flexibility with assignments
  • Knowledge of corporate policies, practices and procedures for travel and timekeeping
  • High level of computer and technical skills, especially Microsoft Office applications to include Outlook, Skype/Teams, Word, Excel, and PowerPoint and SharePoint
  • Self-starter and independent learner with strong desire to help others
  • Ability to handle competing projects with time limits
  • Ability to collaborate well with other administrative personnel across the enterprise
  • Strong administrative skills: strategic execution of tasks, organization, meticulous, writing, and proofreading
  • Strong communication & interpersonal skills: leadership, collaboration, resiliency, critical thinking, problem-solving, emotional intelligence, judgment, business acumen, and decision making, across all levels of the organization
  • Capability to work independently and/or cooperatively with a team to proactively deliver innovative solutions and resolve issues with minimal direction

How You Can Stand Out
It would be impressive if you have two or more of these:
  • Prior experience as an admin or similar role
  • Familiarity with enterprise software packages such as Concur, Workday, JIRA, Confluence
  • Familiarity with Aerospace corporate organizational structures, policies, processes, and practices
  • Experience with classified data handling
  • Ability to be assertive and take ownership of projects and lead to successful completion
  • Comfort working with ambiguous direction
  • Ability to lean forward and anticipate needs
  • Ability to communicate clearly
  • Ability to problem solve autonomously
  • Ability to work efficiently with customers, and to deal with conflict(s)

The grade-based pay range for this job is listed below. Individual salaries within that range are determined through a wide variety of factors including but not limited to education, experience, knowledge and skills.
