Commission Specialist (Portland, OR Hybrid)
Job Description
This position is responsible for processing commissions for M Holdings Securities, performing cash receipts entries, responding to internal and Member Firm commission questions and requests for commission related information, and maintaining and providing assistance with commission allocations for Member Firms and Registered Representatives. This position also performs systems analysis, data management and reconciliation, management reporting and serves as backup for various M Holdings Securities monthly accounting close processes.
Responsibilities:
Commission Processing for M Holdings Securities
- Receive, review and process commissions received from insurance companies, mutual fund companies and various other financial services product providers
- Analyze commission reports and downloads to ensure data received is reasonable and commensurate with product provider commission rate schedules
- Perform the month-end commission closing cycle which includes processing monthly commission checks for those Registered Representatives who elect not to participate in the automated Commissions on Demand program
- Assist with deposits for physical commission checks received as needed. Input cash receipts into the broker/dealer back-office system (Caesar) and reconcile all commission payments received
- Monitor data quality and work with product providers to obtain information needed for processing commissions in cases where supporting data does not reconcile to the commission payment received or when supporting data for commissions is not received from the product provider
- Maintain Registered Representatives payment information within Caesar. Work with Member Firms to ensure that appropriate documentation is obtained, validated and consistent with supporting documentation
- Transform data into a new format to make it more appropriate for analysis. Develop and prepare various analytical reports related to commissions and fees (Gross Dealer Concessions revenues), trends and benchmarks. Effectively summarize and communicate key information to management
- Proactively seek to improve commission processing procedures, automate manual commissions data received from financial services product providers and maintain and update process documentation
- Perform M Securities trade reporting and analysis and related chargeback exposure analysis
- Prepare schedules and provide documentation for regulatory exams, external audits and internal audits
- Develop thorough understanding of M Securities back office systems such as Caesar, Commissions on Demand and Prism
- Support Member Firms and Registered Representatives by responding to questions and requests for commission related information, troubleshoot and provide operational expertise
- Prepare weekly reporting and analysis of Registered Representative balances, cash summaries and monthly close process and analysis
- Prepare and analyze MHS quarterly distribution revenue reporting
- Update product information as necessary within Caesar
- Other duties as assigned
Ad Hoc Requests and Reporting
- Serve as project manager and project team member on various Accounting Team or Broker Dealer projects including upcoming back-office system replacement
- Support other departmental projects and data requests as needed
Qualifications:
- Bachelor's degree in Accounting, Business, Finance or related field
- Well-developed computer skills with proficiencies in Microsoft Excel, Word and Outlook
- Experience with commission processing or background in financial services industry preferred
- Strong customer service skills
- Ability to work independently, demonstrating initiative, drive, orientation to goal accomplishment, attention to detail and organizational skills
- Effective analytical and problem solving skills
- Strong focus on process improvement and developing efficiencies
- Ability to remain flexible and work with changing processes and priorities
- Excellent written and verbal communication skills
- Ability to maintain discretion and confidentiality
- Ability to develop and maintain effective working relationships with Accounting Team members, other M Financial Group team members, M Member Firms, product providers and other external parties
Job Conditions and Environment:
- In Portland, Hybrid work environment offering a blend of virtual/work from home and onsite days designed to support flexibility. In Dallas, will be temporarily remote, moving to fully onsite with new building location coming soon.
- Normal office environment/desk assignment
