Conference Coordinator
Job Description
This position will support the conference programming and content development for our Endurance and Healthcare portfolios. The Conference Coordinator will work closely with the Conference Manager and Event Director to assist and organize cohesive and engaging programs for The Running Event, Switchback, and the Integrative Healthcare Symposium. This position will support program coordination and speaker communication including the CME/CE (Continuing Medical Education) accreditation process.
Essential Functions/Key Responsibilities:
- Initiate the speaker outreach and program development as directed by the Conference Manager.
- Maintain a high level of speaker relationship management through the distribution of invites and collection of speaker agreements, presentations, session information, etc.
- Manage speaker logistical needs including housing and travel.
- Collaborate with internal teams on strategy to meet event goals and ensure accurate communication is aligned with marketing and sales initiatives.
- Work with the Conference Manager on master conference timeline and session details.
- Update and maintain the accuracy of conference content in internal databases, websites and printed materials.
- Proof, revise and submit conference signage documents and staging guide sheets.
- Respond to speaker and attendee CME/CE accreditation inquiries.
- Employ a detailed approach for CME/CE accreditation process, ensuring deadlines are met for all accrediting agencies.
- Organize presentation feedback from our review team and accrediting agencies and help strategize and execute efficient speaker communications.
- Assist with onsite program management, including all speaker needs and act as the lead for all CME/CE questions.
- Create, track, verify and distribute CME/CE certificates for attendees based on accreditation requirements.
- Research new speaker ideas based on content needs and industry developments.
- Document industry trends, tracks competitive events, and other content-related research as assigned.
Skills & Qualifications:
Knowledge: Broad knowledge of program development and conference planning with the ability to understand the role and needs of the conference attendee. Interest in the specialized industries of integrative healthcare and running is a plus.
Skills: 1-3 years of related work experience. Self-starter with excellent written and oral communication skills. Must have exceptional attention to detail and time management skills with the ability to multi-task and adapt. Proficiency in Microsoft Office, Wordpress, Smartsheet, Dropbox and other systems.
Abilities: Strong interpersonal, communication, and problem-solving ability. Capacity to change directions while effectively juggling multiple projects and priorities.
Travel: Required.
