Conference Coordinator
Job Description
This position will support the content needs of the B2B conferences within the Seafood/Integrative Healthcare portfolio. The coordinator will work closely with the Conference Manager and Director to plan and execute assigned educational programs and will organize, coordinate and assist with all aspects of conference program deliverables.
Key Responsibilities:
- Coordinate the call for proposal process and program development as directed by the Conference Manager.
- Maintain a high level of speaker relationship management through the collection of disclosure forms, presentations, W9s, session information, etc.
- Manage speaker logistical needs including housing and travel.
- Collaborate with internal teams on strategy to meet event goals.
- Work with the Conference Manager on master conference timeline, list research and strategic planning.
- Update and maintain the accuracy of conference content in internal databases, websites and printed materials.
- Update, proof and submit conference signage documents and staging guides.
- Research new speaker ideas based on content needs and industry developments.
- Document industry trends, tracks competitive events, and other content-related research as assigned.
- Respond to speaker and attendee accreditation inquiries.
- Assist with continuing medical education coordination.
- Create, track, verify and distribute CE certificates for attendees based on accreditation requirements.
- Assist with onsite program management, including all speaker needs and acts as the lead for all continuing medical education questions.
- Train temp staff assisting with onsite conference duties.
Responsibilities and Scope:
Knowledge: Broad knowledge of education program development and B2B conference planning. Interest in integrative health and/or seafood industry a plus.
Skills: Self-starter with excellent written and oral communication skills. Must have exceptional attention to detail and time management skills with the ability to multi-task. Proficiency in Microsoft Office (including strong PowerPoint skills), Wordpress, Salesforce and other systems. Bachelor's degree preferred.
Abilities: Excellent interpersonal skills with the ability to communicate with senior stakeholders. Must be able to work cooperatively within a team and across departments while balancing competing priorities.
Travel:Occasional travel will be required, approximately 3 times a year.
