Job Description

Diversified Communications is seeking an experienced Conference Manager to join our growing company. This position is responsible for the overall planning, organization, and execution of the conference and experiential program for the Admin portfolioof live events and collaborates with the content, marketing and sales teams to support the promotion of the program. This role is a key contact for conference presenters leading up to and during events, the primary logistical contact for conferences for the product team, working closely with the ops team on scheduling, room sets and breakdown, F&B, and A/V, as well as overseeing the conference budget. The Conference Manager is the primary contact for vendors and partners who host content in conjunction with the conference program, providing them with logistical information and support. This position manages the Conference Coordinator.

  • Build strategic production schedule for conference program & event development in collaboration with sales and marketing teams
  • Establish timelines for conference projects and systems to ensure deadlines are met
  • Works to develop and share key conference program objectives and ensures a high level of accurate communication is shared with the marketing and sales departments.
  • Builds & updates content/data collection processes with Conference Coordinator
  • Proactively researches and recruits keynotes, presenters, and speakers
  • Works closely with the sales and marketing teams to generate ideas and insights, select attendees' training needs and programming ideas
  • Works as a team player to develop and share key conference program objectives and ensures a high level of accurate communication is shared to ensure accurate communication is aligned with marketing and sales initiatives.
  • Recommends innovative opportunities and efficiencies to expand the conference offerings and grow conference revenue.
  • Builds industry relationships with potential speakers and content providers, develops knowledge of industry, trends and target audience
  • Works closely with Operations and Event Director on venue and partner contracts
  • Manage breakout/layout of session space at venue
  • Collaborate to establish timelines for conference projects and systems to ensure deadlines are met
  • Creates and manages conference budget
  • Serves on show site as the primary contact for conference sessions and speaker liaison and member of Show Management team
  • Travels to events and manages execution of conference program

Knowledge: Experience managing events and creating conference programs including management of conference department budget; understanding the role and needs of presenters and attendees; experience managing pre-event and onsite logistics.

Skills: Exceptional project management and negotiation skills. Fiscal budget experience with superior customer service.

Abilities: Strong interpersonal, collaboration, communication, and problem-solving skills. Ability to change directions while effectively juggling multiple priorities.
