Job Description
Primary Responsibilities:
- Manage venue sourcing responsibilities for Inner Circle events including research, capacity planning, and contracting.
- Partnering with the vendor sourcing team to create RFPs, sourcing appropriate venues for our Executive Summits, and work with procurement to contract venues.
- Work with the wider team to plan the event calendar, ensuring we do not clash with any competitor events, public holidays etc.
- Effective management of proposal and contracting and terms and conditions to ensure we are securing the best partners, including negotiations and contracts beneficial to Gartner to ensure we are working with best-in-class partners.
- Plan and manage operations and logistics for all assigned programs
- Communication and collaboration across Evanta business to ensure seamless delivery of first-class virtual boardrooms, virtual town halls and in-person conferences.
- Actively participate in the process of reviewing, enhancing, and executing conference features and programs (virtually and in person), analyzing attendee feedback to ensure we are delivering exceptional, relevant conference experiences, ensuring alignment with the company objectives and vision
- Plan the attendee journey, which will include the event branding and signage.
- Coordinate travel, secure team accommodations, and ground transportation for onsite
- Coordinate communications as primary point of contact for the onsite team to all suppliers including the hotel / venue. Ensuring onsite team are fully trained and familiar with their onsite roles.
- Coordinate with our AV partner to ensure our requirements are communicated properly, floorplans are created, AV sets are designed in line with branding guidelines.
- Manage invoices, purchase orders, and facilitate payment of event related bills
- Financial management: incl. preparation, negotiations, accurate and timely event budget forecasts, alert senior management about risks and deviations to plan and post event reconciliation
- Strong understanding of virtual platforms and carry out the delivery of virtual events in a Tech Lead Role.
- Work with Event Production Team Managers to strategically assign and staff virtual programs, conference planning, venue sourcing, projects, and travel throughout the year
- Frequent review and management of team process documents and internal communication tools for both live and virtual events.
- Full ownership of specific projects and processes that will streamline the way we deliver our events.
- Be a key member of the global conference operations team - build effective relationships with peers in all regions and departments, take and share best practices to continuously raise the level of our conferences across the world.
Secondary Responsibilities:
- Assist with the production of Evanta company events
- Support Gartner Destinations Conferences as needed
Requirements:
- 5-6 years of experience in an event related position
- Proficiency in the MS Office suite including Outlook, Word, Excel, and Power Point
- Experience conducting virtual meetings as the event host. Preferably in Webex, MS Teams, Zoom and/or RingCentral.
- Attention to detail
- Highly organized
- Strong written and verbal communication skills
- Proven financial management abilities
- Project management experience
- Multi-tasking and the ability to manage multiple deadlines in a fast-paced environment
- Strategic and client focused with great costumer service skills
- Proven success working in a collaborative environment
