Primary Responsibilities:
The CSS Contract Administrator is responsible for providing high quality contract customer service which includes contract maintenance, contract marketing, reporting and analysis, as well as contract support to internal and external customers. This position will drive continuous improvements in CSS processes to increase customer satisfaction and contract margin. This role will start remote and potentially work out of our Rosemont office in the future.
Principal Accountabilities:
Contract Administration
  • Create and update contracts within Oracle upon proper approval from Credit and Service.
  • Generate Preventative Maintenance service request tasks in Oracle on a weekly basis. Verify that all PMs for each customer contract and location are complete.
  • Meet regularly with the field service management to address emerging contract issues.
  • Assist with updating install base items for proper contract entitlement to customers.
  • Manage contract credit issues and serial number changes.
  • Maintain service contract files with proper approvals.
  • Manage email contract renewal campaign.
  • Respond to email and phone inquiries from customers, sales, service managers and other Life Fitness departments within 24 hours.

Contract Analysis, Reporting and Continuous Improvement
  • Develop and maintain Oracle Business Intelligence (OBI) reports/dashboard for analysis and management reporting that show contract KPI's.
  • Perform analysis on contract, install base, and sales order data which will lead to increased contract sales and renewals.
  • Identify process issues resulting in contract entitlement errors when customers call for service; make corresponding process improvement recommendations.
  • Generate and submit monthly contract commissions report.

Requirements:
Experience:
  • 3+ years Contract/Customer Service Experience
  • Excellent organizational and multitasking skills
  • Proven problem solving and process improvement experience
  • Proven analytical skills along with a keen attention to detail
  • Excellent communication skills
  • Excellent attendance and flexibility in your work schedule based on workload required

Computer Skills:
  • Oracle/ CRM application experience preferred
  • Database Report writing skills preferred (OBI)
  • Experience with Windows based applications required

Education:
  • Bachelor's Degree in business or related field preferred
