CONTRACTS MANAGER


WHAT IS THE OPPORTUNITY?

City National Bank is looking for a Contracts Manager to join their centralized Procurement department, supporting City National Bank business lines and offices in North America. This individual contributor will be responsible for the department's contract administration and analysis, serving as the subject matter expert. Will review and research contracts for key terms and conditions and perform research to gather market intelligence. The Contract Manager will ensure the integrity of the contracts database, manage the Workflow tool and document policy and process for Procurement's systems. This position will also support Sourcing and Category Management as well as support and assist users of Procurement's systems. This position may be asked to perform duties as a team lead.

WHAT WILL YOU DO?

  • Contracts Management
  • Reviews and assesses current department processes, creates recommendation, and works with the Enterprise Procurement ("Procurement") leadership to implement adopted ideas
  • Recommends and implements approved quality controls around the bank's third party contracts repository, source-to-contract tool and the contracts management function.
  • Ensures compliance of Contract Management function to policy
  • Identifies and communicates to management potential issues they see developing that might cause an impact to CNB, Enterprise Procurement, its data and/or processes
  • Administers contract templates and contract signature (e-Signature) process
  • Develops and maintains processes for the contracts management and related procurement workflow processes
  • Provides internal Help and Support to colleagues using Procurement's systems
  • Manages requests and workflow coming into the Contract Administration team
  • Mentors Contract Specialists. May perform duties as a team lead
  • Strategic Sourcing
  • Reviews and assesses current department processes, creates recommendation, and works with the Enterprise Procurement ("Procurement") leadership to implement adopted ideas
  • Researches and analyzes contracts for key terms & conditions such as expiration dates, termination provisions, notice, etc. summarize and advise colleague what this means and recommends "next steps"
  • Manages and performs an independent Quality Assurance review process of certain third party supplier contracts against CNB Legal Standards. Analyzes gaps, summarize findings and makes a recommendations based on their findings to Procurement Leadership. Procurement Leadership will review the contract and take into consideration the recommended findings, consult with Legal Services and ultimately develop a plan which the Contract Manager will execute
  • Supports Strategic Sourcing by assessing market data summarize findings and recommends to the Strategic Sourcing Manager what this data might mean to their project
  • If required negotiates low and medium complexity contracts
  • Supports Strategic Sourcing Manager and contract negotiation teams, to manage RFx process
  • Source to Contract System
  • Provides subject matter expertise to the design and execution of the source-to-contract and contract management system
  • Develops and maintains processes for the contracts management and related procurement workflow processes
  • Responsible for assessing the contracts database and source-to-contract system workflow for compliance 
  • Authors and maintains Contract Management processes and documentation
  • Measures KPIs (key performance indicators) using sourcing project list to team assess capacity, compliance with company policy, Procurement service levels, etc
  • Provides internal Help and Support to colleagues using Procurement's systems

WHAT DO YOU NEED TO SUCCEED?

Must-Have*

  • Associate's Degree
  • Minimum 8 years of experience in Procurement or Purchasing required
  • Minimum 3 years of experience utilizing Microsoft Office software (Outlook, Excel, Word, PowerPoint)

Skills and Knowledge

  • Knowledge of contracts, database, and workflow tools required
  • Must be knowledgeable with Procure to Pay ("P2P") processes and systems
  • Experience and skills in contract analysis, workload management, documentation, change management, process documentation required
  • Excellent written and verbal communication skills required
  • Must have skills in Teamwork and Collaboration: Generates the best outcomes through collaboration (business, Legal, compliance, etc.). Values colleagues' individual differences and talents. Shares important or relevant information with the team to ensure solutions meets the needs of the bank. Works collaboratively in a team.
  • Must have attention to details. Thoroughness in completing a task/analysis/project with concern for all elements required at every level.

  • Experience negotiating and drafting low risk contracts and the ability to grow skills in negotiation and drafting required.

  • Bachelor's degree preferred
  • Experience in in Procurement, Contract Administration, military supply logistics or paralegal preferred
Compensation
Starting base salary: $90,762 - $114,347 per year. Exact compensation may vary based on skills, experience, and location. This job is eligible for bonus and/or commissions.
