BUT ENOUGH ABOUT US, LET'S TALK ABOUT YOU

Known is looking for a Coordinator who will be responsible for providing administrative assistance and cross-departmental coordination, supporting two (2) busy Creative Executives who oversee premium advertising and marketing campaigns in our New York office (within the Studios practice.) 

WHAT YOU’LL DO

  • Comprehensive scheduling of internal and external meetings with high level creative staff and premium clients
  • Manage and monitor the day-to-day calendars while keeping those you support on task and on time
  • Help both Creative Execs prioritize their time based on shifting client needs, daily presentation deadlines and the need for both to attend live-action shoots.
  • Coordinate travel arrangements, company and client events
  • Communicate and collaborate with other coordinators, executive assistants and employees across practices
  • Communicate and collaborate with producers and leads across practices
  • Manage monthly finances
  • Create and maintain confidential company and client information/materials (Google Docs, Google Sheets and Concur)
  • Prepare materials and set-up for internal and external meetings
  • Coordinate and take minutes/notes during meetings
  • Maintain recurring meeting agendas
  • With input from Producers & Project Managers, create and manage Slack channels and master Monday boards 
  • Manage ingestion process of client-provided asset and tool kits
  • With input from Producers, maintain creative review schedule for Executive Team
  • Completion of weekly internal newsletter for Entertainment Marketing team
  • Coordination with Communications team regarding new work and press releases
  • Work in lockstep with Producers to ensure SVP’s time is best utilized and that she is present in most crucial meetings and aware of any meetings that may need to be scheduled
  • Run daily creative review and make sure SVP is aware of all creative that comes through after hours
  • Coordination of client and team gifts
  • Coordinate with production teams for any on set-shoots
  • Ad hoc responsibilities and potentially special projects

WHAT YOU HAVE DONE/WHO YOU ARE

  • 1-2+ years experience as an Executive Assistant, Coordinator or Office Manager, ideally within a creative or media agency environment
  • Strong project management skills
  • Highly detail oriented
  • Able to assess various requests and prioritize
  • Strong multitasking ability, even when under pressure
  • Able to problem-solve at the highest level
  • Able to work well under pressure and in a fast-paced environment
  • Mature and comfortable dealing with confidential information
  • Highly functioning multitasker
  • Excellent communication skills (PPT, Design, Excel, verbal and written) as well as strong interpersonal skills with the ability to build and foster relationships
  • Comfortable maintaining flexible work hours
