Job Title: Coordinator, Human Resources

Reports To: CHRO

Position Location: Vernon Hills, IL

FLSA Status (Exempt/Non-Exempt): Exempt

Position Summary:

The Human Resources Coordinator supports the day-to-day operations of the human resources functions. Serves as the initial department contact for leadership and employees regarding a variety of general human resources questions, i.e. employee relations, benefits and compensation, interpretation of policies and procedures and other employee information.

Key Responsibilities:

Talent Acquisition

  • Provides support to the hiring process by arranging interview travel, preparing required paperwork, ensuring applicant follow up, and performing background checks and other related pre-employment activities.
  • Responsible for the employee onboarding experience by completing new hire paperwork, policy overview, and assisting employees with accurate online enrollment completion.

Records Management:

  • Manages the employee personnel file and ensures legal compliance. Files resumes and applications for future need; and purges unnecessary documents on an ongoing basis in compliance with the records retention policy requirements.
  • Responsible for maintaing filing system for confidential material and records in compliance with legal and record keeping requirements. Maintains current employee files, I9 records and coordinates purging and electronic storage of terminated employee files.

HRIS Management

  • Responsible for the data integrity of the HRIS system; runs regular reports and analytics from HRIS system. Compiles key HR metrics and prepares monthly HR Dashboard.
  • Interacts with global HR support to ensure that international data is accurately represented in corporate reports.
  • Reviews and transmits time sensitive payroll adjustment file; audits the personnel changes and payroll files on regular basis to ensure data accuracy and integrity.

Stakeholder Support

  • Manage the executive team's calendars ensuring optimal time management and efficiency.
  • Coordinate travel, including booking flights, hotels, and transportation for executives.
  • Assist with special projects and initiatives as assigned by the executive team.
  • Serves as initial Human Resources contact in communication of administrative policies for employees.
  • Answers and responds to walk-in traffic and telephone inquiries. Answers, screens, prioritizes and initiates telephone calls and greets visitors providing procedural information and answering inquires related to a wide variety of employee relations, benefits, employment and payroll questions.

HR Team/Department Support

  • Supports the various communication tools for Human Resources, the Company Portal, ADP Portal, bulletin boards, etc. Will help create presentations, articles, etc. for Employee Communications.
  • Manages the Employee Service Award Recognition program.
  • Assists with benefits annual open enrollment.
  • Troubleshoots basic problems with office equipment and arranges for repair as necessary. Maintains well-stocked inventory of office supplies and places orders as necessary. Opens, sorts, routes and processes incoming mail.
  • Coordinates onsite events including holiday lunches, town hall meetings, and various employee engagement activities.
  • Handle confidential information with discretion and professionalism.
  • Performs other duties as assigned.

Education:

  • Bachelor's degree in Human Resources, Business Administration, or related field preferred, or equivalent work experience

Experience:

  • Proven experience in administrative role; previous human resources experience preferred.

Minimum Requirements/Qualifications:

  • Experience with HRIS, ADP, Concur, and time management system strongly preferred.
  • Ability to work proactively within a fast-paced, team-orientated environment. Ability to meet multiple deadlines and identify/solve problems independently.
  • Ability to positively represent the Company and Human Resources department at all times.
  • Exceptional verbal and written communication skills with a strong emphasis on customer service and able to communicate well and relate professionally to all levels of the organization.
  • Ability to manage time, priorities and a sense of urgency when needed. Demonstrated organizational ability and attend to detail and accuracy. Ability to juggle multiple priorities and meet deadlines.
  • Demonstrated ability to maintain a high degree of confidentiality, sound judgement and ability to think on your feet.
  • Thrives in a fast-paced, collaborative environment, efficiently works under pressure, within deadlines or other time essential constraints
  • Strong work ethic and an ability to excel within a rapidly changing and growing organization
