Our department is looking to add a Coordinator II to their collaborative team of caregivers. You will assist with scheduling, caregiver staff assignments, physician administrative support, and scheduling maintenance to ensure a smooth workflow for the daily operations. This position requires flexibility.
The ideal candidate is someone who:
- Has medical office experience.
- Is proficient in Word, Excel, and Outlook.
- Has experience with EPIC.
- Demonstrates excellent customer service skills.

Job Details
Responsibilities:
- Coordinates various department activities by facilitating analysis and reporting information.
- Develops, maintains and distributes reports for schedules, budgets, staff , paid time off and patient information.
- Coordinates various activities and provides customer support to internal and external customers.
- Prepares, provides analysis and implements special studies and projects.
- Responsible for maximizing a department's allocated spaces by scheduling all procedures/surgeries.
- Enters appointment into respective programs, both routine and emergency add-on.
- Ensures accuracy of all data including appropriate CPT coding and case information (side, equipment, etc.).
- Enters all updates, correction and changes to scheduled procedures/surgeries.
- Maintains provider schedules for designated unit. Coordinates multiple physician schedules. Maintains familiarity with all appropriate scheduling function.
- Notifies patients of their arrival times per area protocols.
- Acts as a resource to all department personnel (surgeons, administrative assistants, nurses, residents, etc.) on daily activity.
- Communicates with all departments to maximize efficiency and expedite the admission process.
- Maintains designated space/unit and patient management calendars/ledgers; maintains department data based on area needs.
- Communicates with patients and their families to provide detailed instructions, directions and resources available.
- Other duties as assigned.
Education:
- High School Diploma or GED.
Certifications:
- None required.
Complexity of Work:
- Requires critical thinking skills, decisive judgment and the ability to work with minimal supervision.
- Must be able to work in a stressful environment and take appropriate action.
Work Experience:
- Minimum of five years office experience.
- Minimum five years experience coordinating and assisting with management functions and special projects.
- Proficient with spreadsheets, word processing and database software.
Physical Requirements:
- Manual dexterity sufficiently to operate CRT and other basic office equipment.
- Occasional lifting or carrying of up to 25 pounds.
Personal Protective Equipment:
- Follows standard precautions using personal protective equipment as required.
