The Correspondence Manager will lead a portfolio of impact-oriented correspondence, drafting messages, managing organization-wide and multi-organization projects, and collaborating on strategic engagement via proactive and responsive correspondence. The Correspondence Manager will have a thorough understanding of the Principal’s writing style, goals, and work and will be able to anticipate responses in personal and business communications. In collaboration with colleagues at Pivotal Ventures, Pivotal Enterprises, the Bill and Melinda Gates Foundation, and across Gates family organizations, the Correspondence Manager will support the Principal with a broad range of correspondence projects.

The Correspondence Manager must be an exceptionally strong writer, able to draft under tight timelines and prioritize varied task lists by urgency and impact. As part of a small team, the Correspondence Manager must have flexibility to offer cross-portfolio coverage and take on shared responsibility for correspondence coverage across extended business hours.

ROLE RESPONSIBILITIES:
  • Manage the process all-up of evaluating, sourcing information for, drafting, reviewing and editing substantive written materials for the Principal, including, but not limited to:
    • Strategic organizational outreach for partner organizations
    • Personal and confidential communications
    • Invitation responses
    • Emails/letters
    • Memos and briefs
    • Condolence, gift, and thank you notes
    • Other spoken and written materials
  • Lead Correspondence coordination with partner entities, fostering warm relationships while collaborating on high stakes output with tight timelines.
  • Work with colleagues across the organization to ensure correspondence is utilized as a strategic tool to advance the Principal’s and Pivotal’s goals for impact at scale.
  • Write quickly, persuasively, and clearly in the Principal’s style on a wide variety of subjects, to a wide range of audiences, including members of the media, heads of state, personal friends, and high-profile network contacts across industries.
  • Continually assess correspondence on behalf of the Principal to forecast needs and proactively produce Participate in the planning and execution of strategic planning and projects for the correspondence team, including leading on initiatives that document, improve, or streamline systems and processes to meet the Principal’s needs.
  • Provide input to memos and organization-wide activities as needed.
  • Ensure correspondence records are captured in the CRM.

  • Comfort navigating and building out CRM systems.
  • Demonstrated experience in maintaining confidentiality and privacy and ability to work discretely on sensitive or delicate assignments.
  • High tolerance for ambiguity, ability to make order out of chaos.
  • Effective communications: expresses oneself clearly, concisely, and empathetically in interactions with others in all forms of communication, i.e., verbal and written, one-on-one and group, etc.

QUALIFICATIONS:
  • Minimum seven years of experience in communications, executive correspondence, politics, or related field.

Base annual compensation range for this role is from $155,500 - $164,300.
