Position: Council Coordinator
Location: Remote
Contractor Qualifications and Experience:
The selected Contractor must possess the following qualifications and experience:
- A bachelor's degree from an accredited college or university.
- Must have at least one year of experience coordinating a board or council.
- Must have at least one year of experience in writing board or council agendas, meeting minutes, and reports for stakeholders.
- Must have at least one year of experience conducting fact-finding desk research.
Contractor Responsibilities:
Service Tasks: Contractor will perform the following tasks in the time and manner specified:
- Ongoing: Serve as the point of contact between council members and the Department.
- Ongoing: Identify meeting date and time options for council meetings and schedule meetings.
- Ongoing: Create the required meeting materials no later than two weeks prior to each meeting. Upon approval, share meeting materials with council members.
- Ongoing: Facilitate council meetings.
- Ongoing: Within 10 business days following the prior council meeting, create meeting minutes and send out a follow-up email to council members with action items for the council members to complete prior to the next council meeting.
- Ongoing: Maintain accurate records of correspondence, meeting attendees, meeting minutes, and related council activities.
- Monthly: Update and maintain the council’s webpage.
- Ongoing: Prepare Rare Disease Advisory Council Annual Report and submit to the Department at least 90 days prior to the July 1 deadline of each year.
- Ongoing: Complete desk research in support of council operations.
- Ongoing: Perform other tasks to support the work of the councils as needed and/or requested.
