Role Description
This is a contract-to-hire position with an immediate start date, through December 2024, and possibly beyond.
The ideal candidate has been in a creative project management or production role in-house, or at an advertising agency. This candidate must have a strong background in creative resource management, project management, and cross-functional partnerships within marketing organizations.
This role reports to the Director of Marketing Operations. This function is the center of knowledge for marketing operations, including commercial team project management, leading marketing process and workflow, resource allocation, project pipeline management, agency relationships, contractor relationships, and creative tooling.

Location: New York City, HQ

End Date: Friday, 12/20/24
Responsibilities:
- Manage creative deliverables for ByHeart commercial team projects end to end, across different functions (including retail, medical education, brand, and direct to consumer teams)
- Support the creative project intake process, in partnership with project drivers, and the creative director
- Ensure that briefs are concise, clear and completed in partnership with project drivers
- Build project timelines, lead kick off meetings, ensure the creative team is equipped with the information they need to be successful in delivering quality work on-time and on-budget
- Update commercial team project dashboard, including status updates across projects
- Communicate project status on a regular basis with key stakeholders; ability to troubleshoot and problem solve if issues arise during the project
- Support in quality assurance, ensuring that brand-forward, on-brief work is delivered
- Build strong relationships with creative team, commercial team, and cross-functional partners
- Support the Medical, Legal, Regulatory creative asset review process, in partnership with creative as well as with our legal, medical education, and regulatory teams
Experience & Skills
- 3+ years relevant work experience in marketing, account, creative project management, or creative program management
- Excellent project management skills, organizational skills & strong attention to detail
- Strong working knowledge of the creative process for traditional and digital media
- Ability to manage multiple projects simultaneously, across different business functions
- Ability to understand creative approach and project management frameworks between quick-turn requests and long-lead projects
- Ability to prioritize initiatives and meet deadlines; strong problem solving and multitasking skills
- Strong interpersonal skills, ability to effectively communicate with internal teammates, cross functional leadership, and agency partners
- Strong written and verbal communication skills
- Ability to identify gaps in workflow or tooling, and find/propose solutions
- Familiarity with Asana is a plus
- Can-do, positive attitude with a roll-up-your-sleeves approach to getting work done
- Preference is for candidates who are NYC based (very flexible in-office policy)
