Job Description

We are seeking a detail-oriented and organized individual to join our team as a Data Entry Specialist with administrative duties. The ideal individual will be responsible for accurately inputting and maintaining various types of data in various computer systems. This is a crucial role in ensuring the accuracy and integrity of our and our clients' data.

Duties/Responsibilities:

  • Set-up and maintain approved subcontractors/vendors into QuickBooks.
  • Set-up due dates for every subcontractor/vendor in QuickBooks.
  • Receive, review and process subcontractor/vendor invoices on weekly/bi-weekly basis.
  • Create and update construction budgets for each floor plan and enter in QuickBooks.
  • Assists subcontractors/vendors by responding to questions or directing them to the proper person.
  • Request recordation for inner office payments from DWG (accounting firm).
  • Monitor project budget accounts including date entry, balancing and reporting.
  • Prepare payables report to be reviewed bi-weekly.
  • Process checks for payments upon President/CEO approval.
  • Record Credit Card/Cash receipts into QuickBooks.
  • Prepare transaction reports, as needed by management.
  • Verify accuracy of printed account payable checks.
  • Scan paid invoice/receipts into electronic folders.
  • Prepare report for yearly 1099's.

Job Requirements:

Bilingual (English & Spanish)
High School Diploma/GED
QuickBooks (Experienced Preferred)

Experience:

1 - 2 years job related experience

Skills and Abilities:

Strong bookkeeping knowledge. Good organization skills; strong computer and typing skill (40 wpm) and 10-key by touch. Basic accounting knowledge. Knowledge of Microsoft Office 365 with strong knowledge of Excel spread sheets and formulas preferred. Knowledge of QuickBooks preferred. Ability to communicate verbally and in written form. Good interpersonal skills and ability to work effectively with others. Self-starter skills, with the ability to prioritize and meet deadlines.

Benefits: Paid company holidays 90 days after start; paid vacation after 1 year.

Job Type: Full-time

Pay: $25.00 - $35.00 per hour

Expected hours: 40 per week
