GENERAL SUMMARY:
We are looking for an exceptional Department Assistant to join our growing Mirada team. Our ideal candidate is fast paced, organized and professional that can efficiently manage the day-to-day administrative functions. This role will interface with a variety of creative clients and high-level executives both internally and externally.Â
Please note, this is a HYBRID opportunity, so you must live within commutable distance to Hollywood, California, please. Â
WHAT YOU WILL DO:
- Coordinate and manage calendars for executive leadership (including meeting setup, navigating conflicting appointments, and regular schedule reminders).
- Provide support for office-wide calendars, create and distribute daily schedules, and lead the daily Stand Up Meeting to discuss and coordinate tasks for the day.
- Provide comprehensive support across a variety of administrative tasks, including managing correspondence, making travel arrangements, assisting with expense reports, etc.
- Act as a point of contact for freelance production teams, liaising with HR and Facilities to notify of incoming freelancers. Prepare a productive workspace for each freelancer and ensure they understand office flow and logistics, including parking, access and Wi-Fi details.
- Coordinate physical requirements for larger in-office meetings with staff and freelancers, such as Client Presentations, Production Meetings and Wardrobe Fittings.
- Support leadership with tracking sales leads by entering detailed information into the company’s CRM, logging updates as new information is obtained, and sending reminders of client follow-ups.
- Source, purchase and prepare client gifts and Mirada swag. This will include suggesting creative gift ideas, ensuring timely delivery, and working within a predetermined budget.
- Manage social media and website news content. Collaborate with creatives and leadership to strategize, create, schedule, and publish engaging social media content, ensuring timely approvals and consistent updates.
- Maintain the physical office space, ensuring tidiness, organization, and a professional appearance for client visits. This will also include proper organizing and inventory of the company’s storage rooms.
- Support leadership and project leads with resourcing, holding and onboarding key crew across a variety of projects.
- Work within department to support current/active projects.
- Occasionally perform production-related and office-support runs. This can also include acting as a Production Assistant on set during live action productions.
- Lead in organizing, planning, and executing a variety of company outings and events for the staff.
- Ensure completion of all action items through detailed tracking and follow up.
- Serve as a liaison to senior management, employees, and external clients.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.

Please note that a potential offer for employment will be determined based on a number of factors, that may include experience, unique skills and/or other qualifications, location, performance factors (current employees), and a variety of business and budgetary considerations. Â
