POSITION SUMMARY:

Provides administrative, research and project development support for the Director of Foundation Relations and Government Grants, Associate Directors, and other members of the Team in the Office of Development. Manages the database of grant submissions, awards, and declines as well as producing reports for the Director, Team and Office.

ESSENTIAL RESPONSIBILITIES / DUTIES:

  • Designs and oversees implementation of new policies, procedures for grants officers, optimizing the use of information systems.
  • Routinely analyzes key metrics from grants database to keep abreast of trends and notifies Director; performs special studies upon request.
  • Manages the process of grant preparation, coordinating with investigators, subgrantees, consultants, grants officers, and BMC Grants Administration to ensure that all BMC and funder requirements are met; assembles final application in Info-Ed.
  • Edits and proofreads grant applications, progress reports, final reports and other communications to foundation/corporate donors for Officers as requested.
  • Writes foundation correspondence and proposals for requests under $15,000.
  • Programs and monitors alerts for Director and Grants Officers to ensure timely response to foundation opportunities.
  • Trains new FRGG staff.
  • Researches potential funding sources (foundations, corporations, federal) for a range of BMC programs and projects, using databases, philanthropy newsletters and websites; compiles summaries of prospect data and presents this information to grants officers.
  • Maintains the "Pipeline" of pending, awarded and declined grants within Raiser's Edge and generates reports for the Team and Office (e.g. Pipeline, Yield Reports, Board of Trustees update). Ensures necessary paperwork for pre- and post- awards are completed as necessary.
  • Reviews grant expenditures to ensure that they are on track and notifies the appropriate parties if there are any issues.
  • Coordinates planned proposals calendar and reporting deadlines for the Team.
  • Participates in annual planning process and quality control initiatives to ensure work released by this office meets the highest level of professional presentation.
  • Utilizes hospital's Values as the basis for decision-making and to facilitate the division's hospital mission.

JOB REQUIREMENTS

EDUCATION:

Bachelor's degree required.

CERTIFICATES, LICENSES, REGISTRATIONS REQUIRED:

None

EXPERIENCE:

Two or more years of related experience.

KNOWLEDGE AND SKILLS:

  • Desire to work in a service-oriented environment.
  • Familiarity with Microsoft Office, Word, Excel and PowerPoint required and donor databases (Raiser's Edge, GiftMaker Pro) and foundation research databases a plus.
  • Proven track record in attention to detail and as a problem solver.
  • Strong professional demeanor.
  • Strong writing and quality control skills.
  • Proven ability to handle multiple tasks simultaneously.
  • Ability to work independently and as part of a team.
