What you’ll do:
Support multiple Insurance Operations leaders in the performance of their duties. This position involves a wide range of responsibilities, including administrative support, project management, professional communications, onboarding support for new team members, hybrid work environment office management and assisting Insurance Operations staff.
What you can expect:
- Proactive Support
- Provide tailored support to individual leaders and teams based on their unique needs and requirements effectively addressing their specific expectations and challenges.
- Drive prepared and productive check-ins regularly with individual leaders in order to collaborate on work and prepare leaders for what’s coming, items that require attention / action / follow up, pending deadlines/deliverables and so on.
- Proactively manage leaders calendars through continuous review and ongoing maintenance. Maintain and reference team calendars for various administrative tasks. Schedule meetings, coordinate and verify schedules and make appointments including travel arrangements following corporate guidelines.
- Develop and implement efficiencies that streamline current processes and/or improve messy legacy processes to save time and costs.
- Prepare reports, presentations, and correspondence.
- Perform research to provide solutions, answers and/or recommendations and follow up as required.
- Make administrative decisions, exercise frequent independent judgment and take action within the scope of assigned authority on behalf of leaders (in their absence, as their proxy, etc.).
- Ensure Timeliness, Accuracy & Quality
- Reference various team calendars and review numerous timesheets.
- Adhere to company policies, guidelines and deadlines to fulfill financial reporting obligations such as paying vendors, submitting check requests, reviewing and submitting expense reports for self, leaders and staff.
- Preparing business collateral such as reports, presentations, operations reviews, dashboards and so on.
- Project Management
- Serve as a project lead/coordinator, team member and/or liaison on various (and often multiple) projects concurrently with minimal direction as assigned.
- Plan, coordinate, prepare, support and/or execute various meetings, events, celebrations, etc. with minimal direction.Â
- Â Adhere to timelines, project scope, corporate policies/guidelines and budget parameters.
- Professional Communication (internal & external)
- Disseminate accurate information from leaders to staff
- Customer/stakeholder outreach and interactions
- Business collateral and correspondence prepared for leaders
- Interpret administrative policies and directives for staff and address sensitive issues with confidentiality.
- Maintain confidentiality of official records and corporate information.Â
- Onboarding Support
- Reference onboarding checklist and collaborate with leaders to support smooth transitions for new or transferring team members.
- Coordinate with other teams, as needed.
- Served as an overall resource by providing education and guidance to new hires as they acclimate to the team and company culture.
- Additional Duties
- Cross train with team members to provide support and coverage.
- Provide support for Executive Assistants in their absence.
- Serve as a pilot member for tech system changes. Become a super user, champion change, provide feedback, educate leaders and teams on new tech processes, software, platforms, etc.
- Make purchases and set up meal delivery credits on behalf of leaders and teams.Â
- Perform other duties as assigned.
What you need to be successful:
- One year of related office administrative work preferred.
- Above average knowledge of office software/programs (i.e. Gmail, Google Calendar, Slides, Sheets, Docs, Zoom, etc.) and the drive to self educate as well as educate others on program uses.
- Capacity to manage a high volume desk, effectively prioritizing and handling multiple projects and tasks simultaneously.
- Maintain confidentiality regarding sensitive information, official records and corporate information.Â

The compensation amount for this role is targeted at $25.79-$27.28. Final offer amounts are determined by multiple factors including your experience and expertise and may vary from the amounts listed above.
