The Challenge
The Global Real Estate and Workplace organization is a newly created team at OneTrust that is dedicated to setting, implementing, and optimizing an integrated, inclusive, sustainable, safe, and secure physical and digital workplace experience for OneTrust’s distributed workforce. The Global Real Estate and Workplace team is comprised of Workplace, Operations, and Physical Security. Â
As the Director, Global Workplace Operations, you will be responsible for enabling the success of the Global Real Estate and Workplace Organization. You will envision, develop, and maintain systems for organizational reporting, including project documentation, workplace portfolio and performance metrics, process management, and governance structures. You will also be responsible for budget tracking and reporting, account and vendor management, and evolving the organizational strategy and priorities. Â
You will lead an organization comprised of work across 3 different categories:
- Reporting & Insights: You will own the data, analytics, portfolio, and performance reporting for the Global Real Estate and Workplace Organization. Your goal will be to build transparency and visibility to answer the question: What do we get when spending a dollar on the OneTrust Workplace? Meeting this goal involves establishing KPIs/ OKRs and metrics, and developing databases, dashboards, benchmarks, and communication cadences. You will also be responsible for creating and maintaining the organizational budget and working with each function in GRE & Workplace to set and manage their finances. Â
- Accounts & Vendor Management: You will vet, negotiate, establish and manage vendor contracts in partnership with Workplace, Security, Technology, Legal, Procurement, and Finance. Â
- Organizational Strategy, Governance & Process Management: You will partner with the Head of Global Real Estate and Workplace to evolve the organizational strategy, develop KPIs, OKRs and organizational priorities and create collaboration systems and processes to ensure work gets done as it’s supposed to. Â
Your Mission
Overarching Responsibilities
- Act as the lead communicator and facilitator on standards and process as related to Global Real Estate & Workplace. Â
- Prioritize operational needs and requirements from the executive team on company change efforts both domestically and internationally; direct and ensure implementation of these efforts from a workplace perspective. Â
- Handle planned and ad hoc operational projects and programs as assigned. Â
Reporting & Insights
- Ensure complete financial management of the Global Real Estate and Workplace Organization. Â
- Partner with Finance and the Head of Workplace to define norms, benchmarks and targets around operating and capital expenditures as related to the OneTrust workplace. Â
- Create a structure for establishing and managing project budgets, maintaining monthly forecasts, cash flow analysis, and other financial reports.
- Train and support the organization on using those structures to ensure success. Â
- Develop status update presentations/emails/reports to report project and organizational progress to senior leadership. Â
- Set standards and oversee the management of GRE & Workplace spend, including advising on commercial agreements, managing third party and payment risk and driving operating efficiency. Â
- Partner with the Head of Workplace to create organizational standards and processes for estimating, cost management, risk management, scheduling, reporting and other related control functions for all capital projects. Â
- Partner with Technology, People, and other internal data teams to develop databases and dashboards for visualizing and communicating workplace insights including operational performance as well as building details such as lease information, design upgrades needed, FF&E, etc. Â
Accounts & Vendor Management Â
- Collaborate and interface with vendors, internal clients and business partners, (People, Finance, IT, Procurement, etc.) leadership, to ensure successful delivery of workplace projects and alignment with governance standards. Â
- Manage vendor relationships and the vendor ecosystem. This includes partnering with Procurement, Legal and the Head of Workplace to determine a process for evaluating, onboarding, and managing ongoing contracts with vendors, both regionally and globally. Â
- Negotiate contracts with selected vendor(s) and manage the performance of all contracted vendors, consultants, etc. Â
- Manage business requirements, due diligence, programming, design, entitlements, bidding, permitting, procurement, schedule creation/management, contractor selection, vendor selection, sustainability, and post-project delivery handoff. Â
- Develop systems for tracking assets, supplies, insurance, and equipment. Â
Organizational Strategy, Governance & Process Management Â
- Align division-wide functions to drive strategic cohesiveness, consistency and efficiency .Â
- Develop programs and projects to promote and facilitate continuous improvement in all aspects of the OneTrust workplace .Â
- Drive definition of KPI metrics for projects. Monitor service levels and performance targets and ensure teams have the support they need to meet their goals. Â
- Ensure that all aspects of the GRE & Workplace Organization adhere to company policy/procedures. including staff development, performance management, and team motivation. Convey and ensure the adoption of policies and practices to the team. Â
- Lead teams in process development and improvement by assessing different alternatives, performing impact analysis and driving buy-in for proposed solutions with key stakeholders. Â
- Establish and achieve goals and objectives, implement project action plans, respond to and manage internal clients & business partner needs and expectations and generally act as a trusted advisor on behalf of the GRE & Workplace Organization. Â
- Develop and maintain governance processes for the drafting of policies, standards, procedures and guidelines. Â

- Advanced project management skills with expertise in project management, organizational strategy, operating models, and workplace models including planning, budgeting, design, contracts, financial management, and reporting. Â
- Demonstrated competence in a broad range of varied project types and operating in a high-demand, complex, and ambiguous environment. Â
- Ability to build productive cross-functional relationships that lead to collaborative problem solving. Â
- Demonstrated leadership skills in organizing, motivating and directing individuals and teams toward objectives. Â
- Demonstrated strong leadership, responsiveness, resourcefulness and creativity in day-to-day workplace project and management activities. Â
- Excellent communication (verbal and written) and interpersonal skills. Â
- Servant-leadership approach with a dedication to the success of others. Â
- Experience developing and managing project management offices/organizations. Â
- Strong background with V2MOM, OKRs, KPIs, and other goal setting and management frameworks. Â
- Experience developing databases and dashboards used for operational reporting in a matrixed organization. Â
- Superior Microsoft Office skills and working knowledge of IWMS, CAD and other relevant workplace operations applications. Â
- Highly developed business and financial acumen, with strong analytical skills. Â
- Knowledge of budgets, cost estimating, and regulatory requirements. Â
- Direct experience with real estate, project management, facilities, and office services functions, ideally in a headquarters environment. Â
- Working knowledge and understanding of real estate related processes: strategic sourcing, supply chain management, facilities management, location management, lease transaction management, and other standards, policies, metrics, and best practices. Â
- Excellent negotiation skills including vendor selection and management. Â
Your Experience IncludesÂ
- 10+ years of operational excellence, project management, and strategic experience with 5+ years of leadership experience. Â
- Bachelor’s degree or commensurate experience. Â
- Comfort and proficiency with Microsoft Suite, including Excel, Word, PowerPoint and Project. Â
- Familiarity with a range of project management tools. Â

- Familiarity with and appreciation for activity-based working approaches. Â
- Experience managing global projects and programs. Â
- Experience working with a distributed, asynchronous workforce. Â
- Led or participated in return-to-work/hybrid work model decisions. Â
- IFMA, CoreNet, and PMP certifications. Â
- Strong background in Corporate Finance: understanding cash flows, accruals, forecasting, annual budget process, etc. Â
- Strong background with V2MOM, OKRs KPIs and other goal setting and management frameworks.Â
