Job Description

Director of Project Management

The Director of Project Management (DPM) is responsible for:

  • The DPM provides leadership specifically to the Project Management (PM) team by leading through example, clear communications, setting and re-setting expectations with the team, and providing support when needed and/or requested.
  • The DPM manages the Project Management team with regular check-ins and bi-annual reviews. The DPM is responsible for hiring, training, developing, incentivizing and correcting PM team members.
  • The DPM ensures project management processes for delivery and internal projects are adhered to. If processes are breaking down or being ignored it is the responsibility of the DPM to determine the issue and find a resolution.
  • Ensures projects are being delivered on time and within budget.
  • Ensures resources are leveled across all teams to meet labor requirements
  • Ensures PMs are providing timely and accurate reporting on resource forecasts, project hours vs budget
Essential Job Functions

Team Leadership & Management

  • Work with PM team and individuals to ensure job responsibilities and expectations are documented, understood and adhered to
  • Recognize team and individual training needs and work collaboratively to obtain/conduct the training
  • Identifying when a new PM hire is needed. Hiring, onboarding and training
  • Take corrective action when necessary and document the desired behavior, actions to take and next steps
  • Provide support to the PM team, which includes, but is not limited to:
    • Proactive identification
    • Regular check ins to discuss projects/feedback and to problem solve
    • Providing or finding someone to provide strategic support on projects
    • Providing or finding someone to provide tactical support on projects
    • Assisting with server migrations, launches, client onboarding and other major milestones
  • Conduct weekly departmental meetings to discuss team and project health, review issues and discuss organizational updates
  • Communicate verbally and in written form, priorities of the organization
  • Department Budget
    • Submit a departmental budget plan at the beginning of each year
    • Track on spending and report to leadership team quarterly
  • Conduct performance reviews/growth plans
  • Review salary levels and determine if/when a raise may be needed or warranted
    • Provide input on performance based bonuses if needed
  • Update and review team scorecard and report out to team on a regular basis

Project Coordination

  • Balance project load for each PM and collaborate to balance those for the delivery teams as well.
  • Understand and communicate existing project projections as well as high confidence new sales
  • Determine team and PM assignment for incoming clients and projects
  • Work closely with PM team to understand scope/timeline/budget milestones of projects and ensure adherence
    • Assist with and enforce change management
  • Facilitate account/project transitions from one PM/AM/Team to another
  • Ensure team is aware of existing vendor partnerships, what they do and how to engage with them when appropriate

Process Development

  • Provide exposure to PM team processes to wider organization and insight from the PM perspective for large-scale org changes.
  • Create/edit/archive process documentation as needed
  • Create/edit/archive project templates as needed
  • Identify internal and client related process breakdowns and resolve at the necessary levels
  • Identify internal and client related process inefficiencies and resolve
Tools/Metrics

  • Departmental Budget - with the ability to utilize it (if there is some sort of sign off needed from leadership or owners, need to know what that looks like)
  • Salaries, last date of a raise
  • Individual PM, departmental and team capacity numbers
  • Project health rating (as determined by DPM, PM and AMs)
  • Self Assessment Reviews, 360 feedback (internal team), Client survey feedback
  • Performance Improvement Plans
  • Project and projections

People Management Expectations

  • Responsible for hiring, training and performance management of direct reports
  • Provides coaching and feedback to direct reports to support job success and career development
  • Responsible for employee performance issues including documentation and disciplinary actions
  • Fosters a positive work environment for all staff by adhering and promoting our core values

Requirements

  • Bachelor's degree in related field.
  • 5-10 years' relevant experience.
  • Proven project or program management experience with ability to handle multiple tasks (Project management degree/diploma/certification would be an advantage)
  • Supervisory or lead experience
  • Must have a strategic mindset as well as be able to lead, mentor and develop team members.
  • Self-motivated and ability to work both independently and as part of the team.
  • Organized with attention to details, able to work simultaneously on different tasks.
  • Good interpersonal, facilitation and presentation skills.
  • Strong critical thinking and analysis skills.
  • Data-centric - quantitative, analytical skills and PC proficiency.
  • Problem Solving ability including logical, systems oriented mindset.
  • Change Oriented with the ability to embrace to changes quickly
