Job Description

Position Summary:  This position is responsible for the daily management of the office and includes direct supervision of non-clinical areas such as Front Desk, Scheduling, Medical Records, Phone Operators, Mailroom, Patient Representatives, and Administrative Assistants.  The director will provide leadership, direction, and administration of services affecting the satellite location and works to ensure operational effectiveness of non-clinical departments and patient thru put. This position collaborates with the clinical teams to improve operational and financial practices while ensuring an outstanding patient experience. The director will help define strategic goals for their department. Works under the general direction of the COO.

Minimum of ten years of progressively responsible leadership/administrative experience in patient access, patient accounting, patient registration, highly correlated customer service role or ambulatory care activities.

Knowledge/Skills/Abilities:

  • Extensive knowledge of the patient access processes. Knowledge of efficient clinical operations and basic knowledge of how those operations impact revenue cycle.
  • Ability to understand and prepare complex written materials, such as business plans.
  • Strong communication skills, verbal and in writing, with all levels of Associates, management, physicians and patients and their families.
  • Ability to lead and motivate individuals and groups of people toward the accomplishment of work and organizational goals.
  • Skill in negotiating with and between individuals and groups of people, including Associates, management and physicians.
  • Skilled in change management with ability to effectively manage resistance, conflict and confrontation.
  • Ability to plan and schedule tasks and projects and to maintain control of own and others’ work flow.
  • Skill in developing and implementing long-range plans and programs.
  • Ability to work without close supervision or guidance and to exercise independent judgment.

Key Job Responsibilities:

  • Plans, organizes, implements, and directs multiple areas of operations within established guidelines to include Patient check in/out, Registration and Scheduling for a specific site. .
  • Identify and implement improvements to operational practices that enhance patient experience.
  • Works with other business unit leaders to develop new ways for to support overall goals of the clinic.
  • Works closely with clinical leadership to ensure effective and timely access to patient care.
  • Establishes customer and patient centered approach for front office operations at all WCC sites.
  • Formulates plans with measurable goals for the site and establishes specific strategies/objectives for meeting these goals in conjunction with the management teams of centralized departments.
  • Track, analyze and forecast operational trends
  • Provide daily operational oversight for all office staff
  • Ensures that patient access services are delivered in accordance with standards and appropriate policies, guidelines, and practices are in place for staff to achieve departmental and organizational goals with respect to registration data collection, service excellence, employee engagement, and operations.
  • Focus on training guidelines, reducing errors and service delivery.
  • Ensures the facility is in compliance with state, federal and other regulating agencies while providing service to facility departments, physicians, staff and external customers in a fiscally responsible manner.
  • Interfaces externally with referring physician offices, patients, cleaning crew, bio hazard waste pickup, regular waste pickup and repair personnel.
  • Maintains and develops a competent, productive, and quality conscious workforce by hiring, evaluating performance, counseling, training, issuing corrective action and recommending promotion or discharge of department personnel according to West Cancer Center value system.
  • Prepares annual capital request budget, and human resource utilization plan for department.
  • Participates in clinic quality projects and assists with accreditation processes when appropriate.
  • Strong focus on team building, mentoring supervisory staff and reducing employee attrition.
  • Ensure each dept/s are adequately staffed for physician or staffing time off.
  • Ensure facility has appropriate supply/ equipment needed to maintain service levels.
  • Review and approve time sheets, invoices and budgetary items.
  • Attends staff meetings and management training sessions, as required.


Supervision Provided by this Position:

  • Provides direct supervision to staff and/or Supervisors of non -clinical departments.

Physical Demands/Conditions:

  • The physical activities of this position may include climbing, pushing, standing, hearing, walking, reaching, grasping, kneeling, stooping, and repetitive motion.
  • Must have good balance and coordination.
  • The physical requirements of this position are: light work - exerting up to 25 lbs. of force occasionally and/or up to 10 lbs. of force frequently.
  • The Associate is required to have close visual acuity to perform an activity, such as preparing and analyzing data and figures; transcribing; viewing a computer terminal; or extensive reading.
