We have an opportunity at our corporate offices in Chicago for a Director, Projects and Operations on our Publishing and Mission Operations team. This position can be hybrid (working from both office and home), with a schedule to be determined by business needs.
As a Director, Projects and Operations you will lead and coordinate resource planning, process improvement, and businessoperations planning across all business units in Publishing. Manage the overall resource utilization ofthe Publishing Group (financial and FTE time commitment). Lead the overall annual budget and analysiscycle, track results monthly, manage the Project Management Office (PMO)resources, and develop a forward-looking planning process and tools to manageoverall resource utilization.
RESPONSIBILITIES:
Project & ProcessImprovement Planning
- Manages the overall prioritization of project management resources to support the goals of Publishing, in coordination with JAMA Network Editorial
- Ensures appropriate training and development and ongoing evolution of the Project Management Office (PMO) to continue to meet the project resource needs of Publishing
- Lead the development of a framework and capabilities around continuous internal improvement across the Publishing verticals
- Manage vendor relationships, including selection for quality and cost, negotiation; ensures vendors meet contract obligations
- Maintains an ongoing process for forward-looking planning (12-24 month) on potential projects and resource needs and develop a process for prioritization and communication of project resources
- Collaborates with the Director, Strategy & Communications to ensure resource requirements align with strategic objectives
Publishing Operations& Communications
- Institute and direct structured business operations, providing oversight for financial, legal, human resource, IT, facilities, procurement, and other operational activities; ensure compliance with all AMA policies
- Develop and streamline operational processes that facilitate the management of the business; ensure processes are well-defined, properly documented, accessible, and up to date
- Establish and lead Publishing annual financial planning, by working with leadership and financial staff; manage financial processes including capital requests, salary planning, budgeting, forecasting, and other reporting
- Responsible for the revenue and expense system for Publishing & Editorial
- Ensures monthly accruals are submitted and coordinates monthly variance questions with AMA Finance
- Manages monthly tracking of expenses for key projects, unbudgeted requests, and headcount positions
- Develops and implement efficient processes for invoice and contract submission and review workflows
Staff Management
- Lead, mentor, and provide management oversight for professional staff, responsible for setting objectives, evaluating performance, and developing staff
- Collaborate with Publishing leadership to build a strong Publishing Team focusing on team culture, pipeline development, and embedding Diversity, Equity, and Inclusion initiatives into the team
May include other responsibilities as assigned
REQUIREMENTS:
- Bachelor's degree required; PMP Certification is preferred.
- Minimum 10+ years of demonstrated experience of project/resource planning across multiple functions within an organization. Must be able to constructively coordinate discussion and input among high-level executives across various discrete business units to develop annual plans.
- Minimum 3+ years' experience with staff management; ability to lead and mentor talent; demonstrated ability to build, lead and motivate teams.
- Proven experience translating organizational objectives into programs and projects which can then be communicated and prioritized across diverse teams.Must be comfortable with a high level of uncertainty/ambiguity in the initial discovery and planning stages with the ability to focus and drive a project to completion.
- Proven experience with implementing process improvement and change management frameworks within an organization.
- Experience in a fast-paced publishing environment and knowledge of publishing technology industry trends, standards, and competition is a plus.
- Prior experience allocating and managing resources (dollars and headcount) across projects and communicating and evaluating project risks as needed.
- Excellent written and verbal communication skills are required; strong conflict resolution and mediation skills required.
- Excellent analytical and problem-solving skills.
