Paylocity is seeking a Director Real Estate and Facilities to join the Corporate Team in Schaumburg!
Reporting to the VP of Real Estate and Procurement the leader will consult with the business and manage all aspects of Real Estate and Facilities related projects to meet business objectives.
This individual will be responsible for effective deployment of facilities related projects and serve as the facilities 'go to' for vendors, employees and business leaders. The Senior Facilities Manager will provide facility management, vendor and contract management, financial/budget management and analysis. This position requires substantial independent leadership skills, process ownership, decision making, administrative and technical expertise.
  • Real Estate management - leases, negotiations, contracts, renewals, extensions, lease fulfillments, landlord interface and overall management of the entire real estate portfolio
  • Oversee the construction phase of assigned projects in accordance with established policies and procedures. Establish and maintain the budget track report. Prepare, track and monitor all field instructions and change orders for additional work. Monitor the project and remodel phasing schedules, resolve field conflicts and implement recovery strategies to mitigate delays. Manage multiple buildouts/projects at once ranging in size from $200k - $5M in scope.
  • Project ownership of assigned projects - including, but not limited to development of scope, schedule, analytics, budget process, timelines, contractor bid reviews, and contractor awards, team and consultant management, tracking project progress actions, communications and documentation
  • Work with related outside vendors on conceptual ideas, design, branding and creation of value added of modern workspace
  • Oversee the ESG program throughout PCTY. Work alongside finance and all ESG committee personnel to create, implement and maintain smart ESG programs
  • Manage overall facility strategy - employee satisfaction, services, operations, headcount growth and occupancy, furniture, AVI (in conjunction with EUC)
  • Overall accountability for ensuring all facilities is properly secured and in conjunction with LL's: Includes risk assessment and recommendations, incident response management
  • Business Disaster recovery - accountable for ensuring all facilities have recovery plan in place regarding: Generators, UPS systems and maintenance, maintenance of HVAC, key card readers, Energy and Sustainability initiatives,
  • Overall accountability for internal meetings/conferences/events management - Planning, set-up, Food and Beverage, events. Provide food and event services daily to up to 1,000 personnel
  • Ensure all health, safety and regulatory conditions, guidelines and audits are followed with process and rigor. Areas of responsibility include but are not limited to fire code/drill compliance, electrical, HVAC, plumbing, elevators, entry/exit systems, security systems, waste treatment, water treatment, etc.
  • Manage the negotiation and maintenance of contractor and vendor contracts that define quality, service delivery levels, pricing and other terms and conditions (partnering with the Sourcing group when required).
  • Plan and execute a preventative maintenance program for all facilities and office equipment.
  • Participate in the process of directing, reviewing and selecting new space throughout the country as Paylocity continues to expand. Work in collaboration with Sr. Leadership on site selection
  • Work with Finance and Accounting on tracking and maintaining monthly, quarterly and annual budgets
  • Manages a team of employees that are onsite and remote by applying management techniques and processes; hire, develop, mentor, assess, reward, motivate, discipline, terminate, etc.
  • Plan for and have emergency response in place for non-scheduled utility outages and related matters
  • Responds and leads emergency response during natural disasters and overall, any type of emergency impacting our employees, infrastructure and offices

Education and Experience
State the minimum education, experience, skills, and certifications/training required to successfully perform the job.
  • Bachelor's degree required (Preferably in Engineering, architecture, business administration, finance, accounting, facility management)
  • 10 + years' relevant experience required
  • Previous leadership experience required
  • Project management certification strongly preferred
  • Strong communication skills, analytical skills, excel skills and PowerPoint
  • Solid foundation and understanding of office buildouts, and related trades, landlord management.
  • Up to 15% travel to various office sites
  • Excel in negotiations, communications and project management
  • Advanced level knowledge of operating and capital budget development and management
  • Excellent knowledge of government regulations regarding real estate and facilities
  • Knowledge of health, safety and building codes
  • Advanced knowledge of heating, air conditioning systems, UPS systems, IDF and MDF closets, data warehousing, electrical systems and mechanical troubleshooting and repair
  • Excellent interpersonal and business relations
  • Working knowledge of state incentives and ability to negotiate favorable terms accordingly.

This role can be performed from any office in the US. The pay range for this position is $122,141 - $184,901/yr; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This position is eligible for an annual bonus and restricted stock unit grant based on individual performance in addition to a full range of benefits outlined here. This information is provided per the relevant state and local pay transparency laws for the location in which this position will be performed. Base pay information is based on market location.
