You are responsible for

  • Obtaining agreements to pay from customers upon resolution of disputes.
  • Processing, generating, and sending out customer invoices via email on a daily basis; working closely with the logistics team to obtain proof of deliveries.
  • Issuing daily credit memos for defective and damaged returns, according to service return policies.
  • Researching, analyzing, and disputing customer deductions and credits within a consumer product industry.
  • Navigating order intake systems to obtain claims of shortages, late shipments, defective parts, and incorrect pricing; reviewing and investigating customer shortage/overage claims and responding accordingly.
  • Coordinating and collaborating with accounts receivable (AR), customer service, order management, and sales support personnel to resolve disputes and to substantiate claims and deductions with proper documentation.
  • Issuing credits and/or working with order processing to complete necessary transactions.
  • Researching and resolving customer issues and discrepancies relating to payments and/or invoices.
  • Assisting with month-end closing surrounding invoices, credit memos, adjustments issuing, and reconciliations.
  • Providing information to support internal/external audit requests; providing monthly reporting to upper management.
  • Capturing results of purchase order (PO) reconciliations and dispute resolution activities via Defect Management Board (DMB) performance tracking.
  • Participating in ongoing performance improvement initiatives (first time right invoicing activities).
  • Conducting AR credit/debit offsets.
  • Preparing direct customer order to PO reconciliation documents as received from sales and sales support teams; sending email requests for documentation (invoices, credits, signed change orders).
  • Other duties as assigned.

You are a part of

To succeed in this role, you'll need a customer-first attitude and the following

  • Bachelor's degree or higher-level education and/or equivalent business experience involving general accounting principles
  • 3+ years of experience with AR, B2B collections, disputing/researching deductions and credits, invoicing, and/or order management
  • Basic understanding of revenue recognition, incoterms, billing of ladings, credit holds, and sales discounts
  • Proficiency with Microsoft Office (intermediate Excel experience, including knowledge of pivot tables and vlookups)
  • Ability to display organizational, analytical, and interpersonal skills; excellent written and verbal communication skills
  • Ability to display flexibility and adaptability to a changing environment
  • Ability to manage and prioritize multiple projects, working with cross-functional teams in a fast-paced environment
