Document Administration Co-Op

THIS POSITION WILL REQUIRE A STUDENT TO BE IN ROLE FROM JUNE TO DECEMBER 2024. THIS IS AN ONSITE POSITION.

Vicarious Surgical is seeking a Document Administrator Co-Op to join our team in Waltham, MA. 

As a Documentation Administration Co-Op, your role will involve supporting the Systems Engineering team in ensuring that design materials are properly documented, reviewed, and released within our quality management system. 

Adhering to strict design control and documentation practices is critical to maintain a high quality development process for medical devices. The Systems Engineering group is a cross-functional team that is responsible for delivering detailed design material covering all aspects of the surgical robotic platform under development. As a member of this team, you will work closely with engineers in various disciplines, as well as clinical development, and marketing to support the rapid development of innovative technology.

Vicarious Surgical is a next generation robotics company developing a disruptive technology with the goal of increasing the efficiency of surgical procedure, improving patient outcomes, and reducing healthcare costs.

Responsibilities

• Support technical design reviews by preparing material, distributing pre-reads, soliciting feedback, taking detailed notes, and documenting resultant actions.
• Provide administrative support in determining appropriate stakeholders, scheduling reviews and necessary follow-ups, and ensuring all quality procedures are followed.
• Generating documentation for submission through the quality management system, such as creating redlines, managing and uploading material, and submitting document change orders.
• Supporting the Systems Engineering group by organizing existing design material, developing strategies for incorporating future material, and providing oversight on consistency of document structures.

About You

• In pursuit of a bachelor’s degree or the equivalent.
• Highly organized and detail-oriented, with strong communication skills.
• Enthusiastic team player who is interested in learning from and working with stakeholders from a variety of technical and non-technical backgrounds.
• Knowledge of Windows operating systems and Microsoft products (Word, Excel, Powerpoint).
• Familiarity with Google products such as Calendar, Gmail, Drive.

Nice to Have

• Familiarity with Jama software, Jira task manager, and/or Arena QMS.
• Experience working in a regulated industry (defense, medical devices, etc).
