What You Will Do:

The Document Control Specialist is part of a team that edits, updates and maintains documents throughout the company to ensure compliance with AS9100 and other regulatory and customer requirements. The Document Control team maintains a comprehensive filing system and computer database for all hard copy and electronic documents (drawings, specifications, manufacturing plans, procedures, labels, work instructions, etc.) necessary to define product configuration, engineering/quality requirements and control the manufacturing process.

As a Document Control Specialist, you can expect to:

  • Assist the Quality/Document Control Manager with research, implementation, training and auditing to maintain QMS standards, AS9100 certification, and compliance to customer and regulatory standards.
  • Assist Quality in the retention of quality management documents and records by maintaining version control, log maintenance, and filing system maintenance.
  • Facilitate the processing of change control tools (ECO's, DCO’s, PVO’s etc.) on a daily basis to ensure documents are reviewed, approved, and implemented in a timely manner.
  • Contribute to the planning and implementation of product and process changes into production while maintaining traceability and control of changes.
  • Process documentation required for Production Travelers as well as shipping and customer-facing documentation including certificates of conformance.
  • Maintain Serial Number control in the master database and ensure consistency of labeling of physical product.
  • Maintain a log of customer-owned property and assets.
  • Assist Engineering, MFG Engineering and MFG personnel in developing and maintaining work instructions for internal, customer, and CM use.
  • Work with Engineering, MFG Engineering and Materials in the design and ordering of artwork (labels, silkscreen).
  • Assist Engineering in the creation and maintenance of Firmware Release Notes.
  • Work with Project Engineers to produce red binders and other documentation to control PCBA production.
  • Conduct the training of new procedures and processes as well as assist new employees with initial training.
  • Assist Manufacturing and Quality in the use of electronic work instructions.
  • Follow part numbering, revision control and part status rules to be able to monitor and implement configuration changes as they impact documentation processes.
  • Review and verify updates to parts including the products’ approved manufacturer.
  • Enter and maintain BOM and revision control.
  • Manage documents to properly archive outdated or unnecessary documents in accordance with record retention schedules/standards.
  • Participate in weekly/bi-weekly production meetings and follow through on action items.
  • Contribute to the company-wide knowledge base by creating and updating how-tos.
  • Troubleshoot and assist other departments in correcting issues with work instructions, serial number records, work order documentation, labelling, RMA configurations and more.
  • Participate in Trust's philosophy to provide quality products, provide excellent customer service and satisfaction, while maintaining a desirable employee work environment. Trust believes the day-to-day production of product will maintain the foundation on which Trust Customers rely on.
  • Look for opportunities for process improvement and work in a cross-functional team to implement approved process improvements.
  • Additional Responsibilities vary based on Specialist Levels 1-3.

What You Need For This Position:

Document Control Specialist Levels 1-2
  • High school diploma or GED required.
  • Bachelor's Degree in Business Administration or similar major is preferred.
  • One or two years of experience in maintaining a document control/document management system or similar work.
  • Strong computer skills with Microsoft Office (Outlook, Word, Excel) and SAP/ERP/MRP.
Document Control Specialist Level 3
  • Bachelor's degree; at least 3 years related experience and/or training; or equivalent combination of education and experience; highly proficient with Microsoft Word, Excel, Access, Visio, PowerPoint and various other computer software (Photoshop, Adobe).
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Strong arithmetic and logic ability.  Ability to participate in and facilitate group meetings.  Ability to effectively present information and respond to questions from groups of managers, clients, customers and the general public.
