Job Title : Document Specialist
Job Location : Pasadena TX USA 

Job description:
Responsible for routing, recording, monitoring, and expediting office checks of engineering and supplier data as required. Interfaces with reproduction department for required reproduction associated with distribution of engineering, supplier, and technical data. Accumulates certified supplier data and other required technical documents. Implements and maintains project document control record keeping system. Works under general supervision, and may assist in training Associate Document Specialists.

Skills
High School Diploma or GED required Bachelors preferred Interviews will be in person 

Responsibilities 
  • Responsible for development and implementation of a site-wide Document Management solution (including selection and implementation of a Document Management Software solution) that meets ISO 9001 requirements 
  • Track and flag documents with recurring obligations, expiration dates, execution requirements and communicate deliverables or time sensitive information to internal employees 
  • Conduct regular audits of documents for appropriate retention standards 
  • Develop and implement a set of key procedures and specifications governing the document control process, including document control procedure, document numbering specification, correspondence procedure, archiving specification, translation procedure, and other documentation together defining the Document Control framework on the given project 
  • Prepare specifications for documents (requirement, control, delivery) for Internal and external design vendor documents, and Project correspondence 
  • Comply with the Company Records Management for Controlled and not Controlled documents 
  • Execute project archiving and handover to the next project phase / Operations 
  • Manage all paper and electronic document flow within the plant, and from/to contractors or vendors 
  • Create and maintain document distribution matrix 
  • Establish and coordinate the use of document “team working areas” for uncontrolled documents and informal sharing 
  • Establish and maintain the Document Control System and Electronic Document Management System 
  • Prepare and issue document reports (Monthly Contractor Master Document Register status/progress/ forecast, Company Document review statistics) 
  • Cross-discipline engineering documents (requirements and use) and discipline approval processes within project teams
