SUMMARY OF DUTIES

This position receives documents for approval in control systems, assigns document part numbers and groups appropriately.

ESSENTIAL FUNCTIONS PERFORMED

  1. Assigns document part numbers and groups appropriately.
  2. Receives documents for approval in control systems and ensures meets with required specifications.
  3. Provides training for Documentation Specialist I's.
  4. Provides statistics of master document control activities.
  5. Compiles statistics of problems and initiates improvements accordingly.
  6. Receives and stores the master copy of controlled documents.
  7. Assures that proper security is provided for each document and record.
  8. Receives and stores ECN's and records associated with new/revised documents.
  9. Provides visibility of retained documents and locations to users.
  10. Assures that documents are readily available to authorized personnel.
  11. Audits controlled documents within the facility, makes corrections as needed and compiles the audit report.
  12. Updates computer system with approved data and makes decisions regarding which data is to be entered into the correct table.
  13. Archives hard copy and electronic files making recommendations for deletion at the end of the retention period.
  14. Performs other duties and tasks as required.

SUMMARY OF MINIMUM QUALIFICATIONS

  • Education and/or experience equivalent to a High School Diploma with three years of related experience.
  • Excellent attention to detail.
  • Excellent problem solving and analytical skills.
  • Ability to communicate effectively and to work with others as a team member.
  • Good organizational skills and the ability to meet deadlines in a timely manner.
  • Demonstrated computer skills preferably spreadsheets, word processing, database and other applicable software programs.
  • CAD experience preferred.
