Job Overview: We are seeking an experienced Document Manager to join our team. The successful candidate will be responsible for managing the lifecycle of all company documents, including policies, procedures, and standard operating procedures (SOPs), as well as the document management platform. The Document Manager will help establish documentation standards, enforce the standards, and educate and assist users with the standards. They will work with various departments to establish and implement best practices for document management, retention, and disposal. The ideal candidate will have experience working with a document management software platform, be organized, detail-oriented, possess effective communication skills, and be able to work independently or with a team.

Key Responsibilities:

· Roll out an enterprise-wide data governance framework, with a focus on improvement of data quality, and the protection of sensitive data through modifications to organization behavior, policies and standards, principles, governance metrics and processes

· Serve as a point of escalation for data governance, quality, and protection

· Work closely with business and functional area leadership to improve the quality of process documentation

· Ensure document protection and access controls are maintained

· Provide progress reports to management and oversee periodic updates to the data governance roadmap

· Manage the document management platform and ensure it meets the needs of the company

· Help establish documentation standards, enforce the standards, and educate and assist users with the standards

· Create and foster a company culture of documentation

· Establish and maintain document management procedures and policies

· Implement document management systems and software

· Ensure documents are properly classified and indexed for easy retrieval

· Monitor document revisions and ensure document accuracy

· Establish document retention policies and schedules

· Ensure document compliance with legal and regulatory requirements

· Provides coaching, feedback, mentoring, and training of employees on document management processes and best practices

· Oversee document retention

· Work with cross-functional teams to identify and implement document management improvements

· Collaborate with IT to ensure proper security of all company documents

· Ensure compliance with company quality standards

· Develop and maintain document management metrics to measure effectiveness

· Promotes effective teamwork and a spirit of partnership.

· Performs other job-related duties as assigned


Let’s work together to succeed together! A minimum of 5 years of combined technical writing and related project management is required with the following qualities is a good start:

Qualifications:

· Bachelor's degree in a related field

· 5+ years of experience in document management

· Strong knowledge of document management systems and software

· Experience with document classification, indexing, and retention

· Knowledge of legal and regulatory requirements for document management

· Experience working with a document management software platform

· Excellent communication skills, both verbal and written

· Strong analytical and problem-solving skills

· Detail-oriented with strong organizational skills

· Proven track record of implementing document management best practices and process improvements

· Ability to work independently or with a team

· Demonstrated advanced proficiency with MS Office, SharePoint; ability to operate database software, including searching, using queries, and running reports

· Ability to articulate vision of transformation efforts and sense of mission

· Collaborative team player with orientation towards work relationships and strong culture development


Additional desired requirements:

· Understanding of the Information Technology Infrastructure Library (ITIL) desired; ITIL Certification is a plus

· Experience operating and maintaining networks/systems including systems administration, network administration, service desk operations, Tiered IT Support, desired

Work Schedule/Travel - Standard Meriplex business hours of 8:00 AM to 5:00 PM with the ability to have a flexible schedule due to work volume and deadlines.
