Job Description

The Education Services Specialist performs a variety of complex, responsible duties in the Education Unit. Works with customers to ensure their needs are meet. Is a liaison for the Learning Management System. Monitoring and updates website. Navigates, monitors and perform registration solutions in Cvent, Cadmium, Ethos, and Salesforce. Coordinates preparation of materials for Education events including program manuals, badges, and sign-in rosters. Coordinates post-seminar activities including managing program evaluation, certificates, and preparing reports. Serves as onsite liaison with hotel venues for live events. Reviews banquet event orders, audio visual support and other event services. Manage participant check-in and provides materials to customers. Troubleshoots customer issues or concerns in coordination with Program Managers and/or Customer Support. Assists with set up and preparation of live and online programs. Oversees critical file maintenance functions.

Primary Responsibilities:

  • Produce program materials, such as PowerPoint slides, handouts, and materials.
  • Create badges and sign-in rosters for in person events.
  • Monitor seminar registration numbers and alert team when action is needed.
  • Coordinate production and shipment of program materials.
  • Create program evaluation and certificate generation with external vendor.
  • Identify efficiencies with customer experiences to include but not limited to registration, materials, engagement tactics through polling or other strategies, evaluations and needs assessment surveys.
  • Support and resolve customers issues.
  • Document customer responses in NCQA's case management system.
  • Coordinate production and shipment of program materials to and from hotel.
  • Travel to event locations and serve as onsite liaison between Program Managers and hotel.
  • Manage registration process at live events including the reconciliation of registration data and payments; Manage participant registration check-in, distribute event materials, verify, and approve banquet orders.
  • Create and maintain electronic documentation essential for ACCME, ACPE and ANCC accreditation and other departmental documentation.
  • Ensure all required documents and forms are correct and complete for Joint Accreditation.
  • Support the Content Expert Certification programs. Preparing departmental reports.
  • Create new events, updating, and maintain data in the Learning Management System.
  • Review, update, and post events to Education website.
  • Support other Units with LMS set up and management. Arrange for updates as directed.
  • Schedule and support webinars via Zoom.
  • Download recording, attendee list, polling, and Q&A.
  • Loading OnDemand content into the LMS
  • Order food and beverage for onsite events.
  • Monitor and control costs for food and beverage.
  • AV orders and set up at in person events.
  • Liaise with Admin services and IT for all in house seminar planning and delivery.
  • Liaison with hotel AV and problem solve.
  • Reconcile any billing discrepancies, approve, and process invoices for payment.
  • Order and maintain budget for departmental supplies.
  • Perform other duties as assigned.


Requirements:

  • High School diploma and/or Associate degree
  • 3 years as an Administrative Professional
  • Detail oriented.
  • Must be proficient in Microsoft Office applications including Word, Excel, and PowerPoint.
  • Excellent organization, communication, and customer service skills.
