About the Role

iCapital is looking to hire an experienced and talented Internal Event Support Manager to reinforce the iCapital brand and enhance internal loyalty through impactful and expertly executed employee events. The ideal candidate will uphold the ideals of iCapital with a clear understanding of premium service, defining and developing exceptional ‘white glove’ experiences and events, and ensuring internal events are a superb expression of iCapital’s brand and culture. This role reports to the Head of Global Events and Sponsorships and plans every aspect of each event activity.

This role is an exciting opportunity to provide an excellent employee experience and develop unique and impactful events for the employees at iCapital. This individual has exceptional organizational and interpersonal skills, multi-tasks effectively, and has excellent time management skills.

Responsibilities
  • Act as a Business Lead for the internal events that support 1000+ employees in 12 global offices. Events include, but are not limited to, large-scale international event training, education, and culture-building initiatives, holiday parties, happy hours, summer intern programs, MD events, recruiting events, DE&I events etc.
  • Act as a strategic partner helping to generate ideas, and then plan and implement the internal event in support of global HR business objectives. Work with the Head of Global Events and Sponsorships to build operational excellence for iCapital’s global internal events programs.
  • Provide guidance and expertise during the proposal development process; provide input for cost and time estimates for potential new programs.
  • Manage end-to-end internal events, including initial planning, venue sourcing, vendor management, registration build and management, survey development, technology needs, food and beverage, transportation, attendee lists, speakers, sales enablement tools, and promotional materials, etc. Drive consistency and accountability to ensure all activations are on strategy, on brand, and budget.
  • Support content management from editing and writing event marketing copy, promotional content, aid in speaker selection (if required), speaker management, and speaker prep sessions.
  • Manage external (tradeshow) sponsorship activation for HR Recruiting events:
    • Create individual timelines for all sponsorships to ensure deliverables can be met on a timely basis, including building in time for sponsor approvals.
    • Deliver end-to-end logistics for each event, including coordinating travel, onsite activities, meetings, booth set up and take down, booth signage, giveaways, speaking opportunities etc.
  • Take on administrative duties: event approvals, contract management, vendor onboarding, vendor payment, calendar management etc.
  • Support and be flexible in other areas of business within the events team as needed.
  • Willing and able to hire, manage, develop, retain, and motivate direct reports as the team grows.
Qualifications
  • 10 -15 years of experience managing in-person events end-to-end, ideally with the experience in employee events. 
  • Strategic thinker, self-starter that can see the larger picture and help evolve and grow the event strategy 
  • Bachelor’s degree in marketing, event management, communications, or related field desired.
  • Proficient in Cvent and experience in project management tool Optimizely 
  • Competent in virtual event platforms (Teams, Zoom)
  • Computer proficiency with Microsoft Office (Excel, PowerPoint, Word)
  • Specialized knowledge in event contracting for sponsorships, venues, and DMC’s
  • Competent in third-party vendor selection and negotiation
  • Excellent budgeting and financial management skills and able to keep projects within budgetary guidelines
  • Understand the key ROI metrics and outcomes of events
  • Can execute sponsorships and propriety events in its full events lifecycle
  • Proven project management skills with the ability to juggle multiple priorities to execute on time and deliver high quality events
  • Able to travel domestically and internationally and work across time zones. Willing to work extended hours as needed.
  • Excellent communication and interpersonal skills with a proven ability to communicate effectively both written and verbally
  • Able to work in office and lift up-to 40 lbs.

Benefits

The base salary range for this role is $140,000 to $170,000.  iCapital offers a compensation package which includes salary, equity for all full-time employees, and an annual performance bonus. Employees also receive a comprehensive benefits package that includes an employer matched retirement plan, generously subsidized healthcare with 100% employer paid dental, vision, telemedicine, and virtual mental health counseling, parental leave, and unlimited paid time off (PTO).

We offer most employees the flexibility to work in the office three to four days and remotely for the remainder of the week.  Every department has different needs, and some positions will be designated in-office jobs, based on their function.
