Enterprise Records Manager (REMOTE)
Job Description
Responsible for the design, implementation, maintenance, and compliance of the company's records and information management program (RIM) and Information Governance program (IG).
Manage RIM and IG for both electronic and physical records by developing relationships within business units as well as managing relationships and setting goals and associated objectives across multiple geographic areas. Provide records management expertise to ensure the continuous improvement of the company's information management capabilities. Develop and maintain record retention schedules and related change management processes. Monitor, evaluate, and report on RIM and IG programs and implement improvements. Manage and direct active records systems and centers, records organization and evaluation, and inactive records centers. Provide expertise and input to other functional areas which affect the RIM and IG across the organization.
The scope of this position includes responsibility for the following records management activities: facilitate change management; develop, modify, and implement records retention schedules; monitor legislative and industry changes related to RIM and IG; develop, modify, implement, and enforce records retention policies and procedures; recommend improvements; provide training; and provide periodic reporting. Building positive and long-term relationships will be critical to the success of the enterprise records manager.
Works closely with IT to build records management functionality into Enterprise architecture and to ensure information systems incorporate records management functionality appropriate to the records and information assets they support. Provides expertise to IT and CIO related to records and information management approach and technology consistent with Enterprise architecture. Promotes effective records management throughout the Enterprise and builds positive and long-term relationships with business areas and leadership. The scope of this position includes responsibility for the following records management activities: facilitate change management; develop, modify, and implement records retention schedules; monitor legislative and industry changes related to RIM and IG; develop, modify, implement, and enforce records retention policies and procedures; recommend improvements; provide training; and provide periodic reporting.
What You Will Be Doing:
- RIM/IG Design, Implementation, and Compliance
a) Create, implement, and maintain records management program policies and procedures (electronic and physical records)
b) Develop, implement, and maintain the records retention schedule
c) Partner with business units and IT in order to address business needs, ensure compliance with company policies, manage resources, support IT systems, and develop RIM/IG strategies
d) Develop, implement, monitor, and report out on RIM/IG improvement opportunities for the retention of information and records
e) Establish collaborative relationships with affiliates
f) Keep informed of current laws, regulations, industry practices, and technologies that affect recordkeeping practices
g) Provide records analysis and support business unit and IT projects that relate to RIM/IG
h) Design and implement records destruction process - RIM/IG Administration and Coordination
a) Develop and manage projects
b) Conduct research, data collection, and report out on RIM/IG compliance
c) Manage and oversee both electronic and physical records storage in coordination with business units and key stakeholders (e.g., IT and Corporate Services)
d) Work with business units to administer policies and program compliance
e) Collaborate with IT to meet requirements related to RIM/IG, including lifecycle management requirements and system design
f) Implement systems in compliance with RIM/IG requirements based on an organizational needs analysis - The essential functions listed represent the major duties of this role, additional duties may be assigned.
7+ years related work experience. Experience Details: Records and information management and Information Governance program experience.
Related Bachelor's degree required
Understanding of automated systems and applications
Demonstrated experience with IT content or document management systems
Documented experience organizing and managing individuals and teams or projects
What We Would Prefer:
Master's degree Records administration, archival/library science, or information and data administration
Records management experience in a large, complex corporate setting in a regulated industry Current/Previous affiliation with ARMA/AIIM 7 -10 years of experience in records management manager or similar position Demonstrated experience with SharePoint
General Physical Demands
Sedentary work: Exerting up to 10 pounds of force occasionally to move objects. Jobs are sedentary if traversing activities are required only occasionally.
Physical/Environmental Activities
Must be able to travel to multiple locations for work (i.e. travel to attend meetings, events, conferences). Occasionally May be exposed to outdoor or warehouse conditions of loud noises, vibration, fumes, dust, odors, and mists.
