The ES Intermediate Manager - Project and Financial Management will be responsible for the management and direction of a specific function within Enterprise Services. This individual will have direct oversight of activities and issues that may impact the achievement of the objectives of the division. This will include management of a small to moderate-sized group of employees who typically receive direct management from team specific supervisors. Responsibilities will be to oversee the coordination of BBH accounting, general record-keeping, budgeting, invoice processing and management reporting requirements associated with firm wide Enterprise Services & Facilities initiatives. This position requires strong analytical skills and is responsible for ensuring that there is appropriate documentation evidencing the accuracy and completeness of the financial records of the division. This position will team with Global Controller counterparts to assess, communicate, and implement accounting best practices firm wide and ensure that innovative actions are taken to track and improve accounting processes and management reporting.
Some of your key responsibilities include:
1.Financial Management & Reporting
- Participate in the analysis and design of automated solutions to business problems
- Oversee and manages division's operating budget and coordinates the review with the section managers and Controllers throughout the year.
- Oversee the A/P function for non-Systems related expenses. This includes the third party BPO tasks.
- Coordinate with the Occupancy Controller to investigate firm-wide facilities accounting activities with the objective of establishing firm-wide financial control over these activities
- Hold meetings with Global Controllers as required
- Assists in the analysis of financial management reporting with section manager responsible for Dining Services vendor
- Develop flexible management reporting tools
- Produce management reporting for the division and spend reporting for the firm
2. Productivity & Management
- Ensure the smooth, effective operation of the function; including proper product delivery, proper escalation and resolution of high exposure items, maintaining proper balance of cost, control and client service
- Review the workflow schedules as they correspond to staff coverage and overtime requests
- Ensure the efficient operation and administration of department vendor relations; including: daily operations, invoice reconciliation, requests for proposal, and troubleshooting.
3. Process Improvement
- Develop and maintain a culture of results-oriented, continuous, process improvement. This includes developing and achieving leap goals, challenging all processes, procedures, and practices, and focusing on solutions (not "good reasons").
4. Risk Management & Control
- Identify areas of risk and ensure quality control measures are in place, understood and followed by staff before errors occur
- Develop and implement policy and procedure
5. Product Development
- Ensure standard suite of products is competitive, strategic, well defined and critical to our clients
- Lead development of the firm's A/P process, including the signing authorities and systems enhancements and implementations
- Act as an analyst for Procurement to Pay systems projects and work with the System admins on those tools
- Take a lead role in liaising with counterparts in Systems, Controllers, Compliance, and Risk on the Procure to Pay process
6. Client Service
- Lead staff by setting high standards, providing a thoughtful approach, having a committed attitude, and by being an effective representative of the division
- Review client inquiries for professional and expedient processing by the team
- Act as primary liaison between the firm and vendor(s) to ensure product efficiency and the overall client satisfaction for the services provided
7. People
- Cultivate staff relationship across all Enterprise Services locations
- Develop employees by providing training, mentoring, performance management, succession planning as well as appropriately challenging assignments and assistance with career planning. This includes accountability for partnering with HR on recruiting, hiring and orientation
- Conduct regular scheduled meetings with the team for delegation of tasks, follow-up and staff development
- Administer Performance Appraisals for direct reports
Education level and/or relevant experience(s):
- BA/BS degree
- 8+ years of management & financial analysis experience preferred
- CPA and/or CFA a plus
Knowledge and skills (general and technical):
- Proven people management and development skills
- Proven ability to deliver on business plan
- Proven ability to motivate team
- Strong analytical skills combined with the capacity for creative problem solving
- Strong PC skills (Word, Excel, Access, PowerPoint, etc.)
- Demonstrated technological expertise and experience with BBH PC applications
