Event Coordinator (Contract-to-hire)

Summary:

The Events Coordinator will assist in the development, implementation, and execution of all domestic and international events sponsored, hosted, or attended by Multi Media LLC or its subsidiaries. Our ideal candidate is approachable, open-minded, and passionate about executing an overall unparalleled and successful experience, from start to finish, for each and every event. Travel is a requirement for this role.

What you’ll be doing:

Event Planning:

• Manage conference/event/trade show plans for all Multi Media, LLC Business Units and own execution of the plan with the internal events team
• Interact with show management to complete applications and process registrations
• Coordinate vendors and event logistics
• Provide show information to all corporate attendees
• Order exhibit materials and arrange shipping to show locations
• Organizes and keeps event documents up to date including status reports, team calendars, production timelines, checklists, run-of-show, invite lists, and executive memos

On-Site Execution:

• Act as On Site Lead and Point of Contact for conferences/events/trade shows
• Provide direction for exhibit materials, technical setups, and overall Booth checks
• Ensure that event best practices and policies are in place and communicated effectively to all attendees.
• Manage run of show timeline to ensure coverage
• Coordinate team and corporate needs such as tech support, directions, accommodations, transportation, lunches, dinners, etc.
• Organize and track inventory of conference materials and promotional items
• Provide additional support functions to show execution as needed

Requirements

• Experience working closely across multiple divisions.
• Ability to conduct oneself with absolute professionalism in surrounding that may be, situationally, adult in nature.
• Experience in navigating the nuances of working and interacting with people from many different backgrounds
• 3-5 years of experience in Event Coordination at a TV Network, Steaming Service, Production Company, or Film Studio is a plus, but not necessary.
