As the Event Experience Coordinatorat Life Fitness, you will be responsible for facilitating customer visits to our Experience Hub (innovation-focused showroom) and coordinating factory tours. In this role you'll be responsible for partnering within marketing and across sales to plan and execute detailed tour, event, and tradeshow management activities with the primary objective of creating best-in-class experiences for customers. This role is a great opportunity for an enthusiastic, organized, and creative marketing events professional with strong event planning experience, who enjoys on-site, hands-on program and logistics coordination.
As the Event Experience Coordinator, you will (responsibilities):

  • Works closely with sales and marketing to plan and execute customer events and experience tours, implementing industry best practices, suggesting innovative ideas and cost efficiencies.
  • Manage all event components including pre-planning coordination, show logistics/execution and post-show completion of all details including measuring ROI.
  • Maintain and track event calendar and log to provide monthly reporting on spend, attendance, and possible improvement.
  • Develop a network of internal and external contributors that make planning and executing each event a simple process.
  • Oversees logistics related to activities being performed by other vendors.
  • Coordinate installation labor, dismantle labor and be onsite at events to ensure proper flow and address any issues that may arise.
  • Manage & negotiate contracts and other necessary vendor/supplier relationships.
  • Manage and maintain event budget, timelines, product showcase orders, etc.
  • Verify and complete required lead data entry to ensure accurate records in SFDC.
  • Ensure effective time, travel and expense management on daily basis.
  • Track and analyze campaign effectiveness to determine ROI and go-forward plans.
  • Work with marketing communications, digital marketing, trade shows/events, and global marketing teams to execute plans.
  • Gain market knowledge by regularly communicating with sales team and customers
  • Assist in maintaining department budget including invoice processing, expense tracking, A/R submission and follow up and monthly budget reconciliation
  • Assist in maintenance of various marketing tools
  • Provide additional support to tasks and/or projects as needed / assigned


What we're looking for in our Event Experience Coordinator (requirements & qualifications):

  • BA/BS in marketing or related field
  • 2-4 years relevant event or marketing experience - working with clients/customers handling logistics of events, shows or equivalent experience.
  • Strong fitness market and product knowledge, preferred but not required
  • Global marketing experience preferred but not required
  • Experience with marketing processes, maintaining brand standards and creative development process
  • Strong communication (both verbal and written) and presentation skills
  • Ability to work in a multi-time zone environment
  • Ability to multi-task and manage multiple projects and deadlines simultaneously.
  • Ability to travel up to 20% of the time, including internationally.
  • Proficient in MS Office (Word, Excel, PowerPoint, Project).
