The Event Manager, Strategic Meetings & Events will plan, manage and execute tradeshow participation within North America, such as SLAS and AGBT industry trade shows, webinars, customer events and is responsible for project management and driving results of each event.

The role is part of a high-energy, fast moving strategic meetings and events team - responsible for developing, executing, and measuring event programs within BECLS and will report to the Manager, Strategic Meetings & Events position on the Brand Services team. The position requires strong tradeshow/event/meeting planning, project management and execution skills, as well as solid budgeting and lead tracking experience.

The Event Manager, Strategic Meetings & Events will be accountable for the entire event life cycle of planning, implementation and follow-up/debrief. The event life cycle can include concept, briefing/debriefing, cost analysis, project plans, selecting/hiring vendor partners, venue sourcing/selection, contract negotiations, onsite support, accommodations, amenities, food and beverage, transportation, event registration, production and attendee surveys with results.

This is a dynamic work environment with competing priorities and deadline pressures, so the ideal candidate must be self-driven, flexible, patient, results-oriented, detail-oriented, well organized, and willing to tackle concurrent tasks and projects as requested. The ideal candidate will be comfortable with ambiguity, be able to adapt to urgent, last-minute issues and develop creative solutions as problems arise.

Responsibilities include, but are not limited to:

Event Contracts

  • Prepare contractual agreements and negotiate contract modifications
  • Analyze and evaluate event contract terms and conditions to verify and confirm that they are in compliance with company policies
  • Establish and maintain point of contract relationships with vendors, venues, stakeholders, and associates throughout the event life cycle
  • Search for cost saving opportunities within event contracts
  • Self-monitor progress on all projects and maintain management system for easy report out

Event Planning

  • Organize and lead regular planning meetings with internal teams such as marketing communications, vertical marketing, business unit members, sales and third-party vendors.
  • Ensure critical deadlines are communicated, tracked and met via a deliverables/action plan timeline
  • Research, evaluate and book event space, hotels, meeting space, etc.
  • Prepare and manage budget for tradeshows and events, reconcile invoices/PO in a timely manner to ensure accuracy
  • Create event training, staff schedule; coordinate staff training
  • Prepare leads for follow-up, ensure all leads processes are adhered to
  • Lead post-event evaluations and metrics analysis
  • Align exhibit program objectives and strategy with brand and corporate priorities
  • Select, train and motivate staff to execute in-person events
  • Manage all event operations - planning, executing, budgeting, and wrap up
  • Assess and report out on event success including KPIs, budget, etc.

Event Logistics Management

  • Collaborate with vendors to either utilize existing booth property or rent other properties-identifying the most cost-effective option
  • Manage logistic requirements and deadlines for drayage, electric, shipping, etc.
  • Procure, coordinate and manage third-party vendors such as A/V, catering, freight shipping, labor/show unions, and show management
  • Coordinate on-site event setup and breakdown, for tradeshows - coordinate booth duty during show hours and breakdown of events; organize and run after hour events and transportation
  • Be the event onsite lead for major tradeshows and other events as assigned, to provide direction to tradeshow booth staff, executives and customers

Qualifications

  • Bachelor Degree in marketing or related field plus 5+ years of experience managing tradeshows and events
  • Extremely detail-oriented, meticulous and able to work autonomously
  • Ability to manage multiple projects at a time - on time and on task
  • Team player and leader who possesses strong interpersonal, written and oral communication skills
  • Strong cost analysis, accounting reconciliation and budgetary responsibilities
  • Ability to travel, as required 15-35%
  • Experience with inventory management software such as Exhibitforce.com a plus
  • Experience and understanding of life sciences industry a plus
  • Ability to lift and move 40 lb. boxes of exhibit materials
  • The salary range or hourly range for this role is $104,800.00 - $114,000.00. This is the range that we in good faith believe is the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range is only applicable for jobs to be performed in Colorado. This range may be modified in the future.
  • This job is also eligible for bonus/incentive pay.
