Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well being of artists and the communities to which they serve. Our new home houses fabrication services, production services, production spaces, and member workshops for artisans. 

We are seeking a Event Production and Operations Director to join the team and manage the planning and execution of both internal and venue hire programming at Powerhouse Arts, overseeing all facets of event and technical production including venue layout, staging, rigging, lighting, electrics, audio, video, front-of-house, and events operations.  This role will partner with the Event Sales, Community Engagement & Partnerships (CEP), and Operations Directors to produce events, achieving an unbeatable standard in event execution and high customer satisfaction through excellent client management, customer service, and collaboration. This role will report to the Co-Executive Director of Operations & Business.

Responsibilities:

Event Production and Operations Planning & Execution

  • Take ownership of, and supervise, all aspects of production in four spaces throughout the building: Grand Hall, Small Hall, The Loft, and the Lobby
  • Approve and schedule all production activity in PHA spaces, maintaining the highest level of health + safety, balancing customer service and delivery while protecting PHA’s spaces and resources
  • Develop and maintain production budgets for PHA events and assist in creation of client budgets for venue hire events
  • Direct scheduling of production activity:
    • Develop detailed schedules for all spaces, in collaboration with the Event Sales, Community Engagement & Partnerships (CEP), and Operations Directors
    • Develop and administer production calendars and design deadlines for each production
    • Determine load-in/out, tech, and rehearsal schedules for each production
    • Manage resource calendars for all shared equipment
    • Schedule and run all design and production meetings
  • Recruit, hire, and supervise Technical Director, earmarked to begin Summer 2023
  • Recruit, hire, and supervise production crew
  • Recruit, hire, and supervise front-of-house teams (house managers, ushers, box office staff)
  • Partner with external vendors: Venue Hire Sales + Marketing partners, equipment vendors, production companies, etc. on the creation, planning, and execution of events
  • Coordinate public assembly (PA) and temporary public assembly (TPA) layout discussions and filings with designers, architects, and expediting team
  • Coordinate and attend FDNY + DOB inspections of the event spaces
  • Participate in internal Health & Safety Committee, upholding the highest standard of safety and compliance during all events
  • Ensure information for each event is distributed internally in a timely manner
  • Ensure Health + Safety, DOB, FDNY, and OSHA codes are always adhered to

Entertainment Technology Systems

  • Take ownership of, maintain, and direct the operation of, all event technical systems, including:
    • Rigging
    • Event power
    • Stage (ETC) and architectural lighting systems (Lutron)
    • Audio, video, and comms infrastructure
    • Loose equipment
  • Make recommendations for capital investments for entertainment technology systems
  • Direct the procurement and installation of all additional entertainment technology systems and loose equipment
  • Develop and lead regular preventative maintenance program for all systems

Other Duties

  • At all times carry out duties and responsibilities with regard to Powerhouse’s Diversity, Equality, Inclusion, and Justice policies

Qualifications:

  • Proven track record and 10-years relevant experience in event planning and logistics, entertainment technology, technical theatre execution and general theatre operations, financial management and budgeting events, with the ability to handle unforeseen challenges
  • Experience in rigging, lighting, audio, and video
  • Prior experience of working in a performing or fine arts venue/organization
  • Lighting, audio, video, and/or scenic design experience a plus
  • Fluency in entertainment/theatrical drafting: Vectorworks or AutoCAD
  • Knowledge of Event Sales & Venue Operations CRM a plus (Ungerboeck Systems event systems/database)
  • MS Office, G-Mail, Box/Dropbox, and database management skills
  • Excellent negotiation, communication, and interpersonal skills
  • Flexible problem-solver
  • Experience of setting and achieving high standards of customer service
  • Ability to work accurately under pressure with excellent attention to detail and ability to prioritize
  • Willing and able to work both strategically and be hands-on when required
  • Flexible approach to working hours

Salary and Hours: The annual salary for this position ranges from $126,000-$150,000 and commensurate with experience. This position requires frequent evening and weekend hours.
