Job Summary:
The Event Project Manager is responsible for coordinating and managing events and long-term projects. Also, trouble-shoot potential problems and rectify existing problems at event sites.
Responsibilities:
• Prepare all pre-event documentation and coordinate with Sales, Operations and Clients to ensure consistent, high-level service throughout pre-event, event and post-event phases.
• Communicate with Sales, Operations and Clients to establish needs and expectations for each project.
• Provide internal and external End-of-Day Reports, as required.
• Prepare post-event after action reports.
• Recognize opportunities to maximize revenue by up-selling products and services.
• Recognize opportunities for improvements and enhancements. Refer all suggestions to Sales or Senior Project Manager to create outstanding events.
• Plan and execute events that fulfill PRO EM’s objectives, as well as pre-established Client expectations.
• Work with timelines, planning and project management will be common features of work to ensure all project deadlines are met.
• Coordinate with asset managers to create and communicate equipment/supply needs, load lists and timelines for shipping to and from event sites, in advance for proper, timely pre-planning.
• Recommend staffing needs to Operations Manager.
• Work hand in hand with crew lead to ensure setup and takedown in an efficient manner.
• Ensure quality presentation.
• Maintain the highest level of service and exceed Clients’ expectations.
• Provide all contract updates and changes promptly and in detail to Sales for events assigned.
• Provide constructive feedback and possible solutions for challenges faced at the jobsite.
• Create a positive Team atmosphere in office and on-site.
• Ability to work in a constant state of alertness and in a safe manner.
• Perform other duties as assigned.
Requirements:
• Must have strong people-focused element to this role by liaising with event contributors, venues, vendors and partners.
• Previous experience in event management.
• Experience of working in a fast-paced, high-pressure environment.
• Excellent oral and written communication skills.
• Ability to handle and own multiple projects.
• Pro-active and shows initiative.
• Familiarity of Word and Excel.
• Ability to work well under pressure.
• Willingness to undertake a wide range of tasks to its end.
• Flexibility, working on weekends and evenings.
• Flexibility, travel to jobsites in-state and out-of-state on short notice.
• Must have clean driving record to be covered by company insurance.
