Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well being of artists and the communities to which they serve. Our new home houses fabrication services, production services, production spaces, and member workshops for artisans. 

Powerhouse is seeking a Events Sales Director that will take full ownership of the Event Rental Program, overseeing all facets of Event Rentals from initial inquiry to event execution, and final closeout, cultivating and developing relationships with potential, and repeat, clients.  This role will generate a level of sales and profit as set in the annual budget by achieving high customer satisfaction and repeat business through excellent client management and customer service. This role will report to the Co-Executive Director of Operations & Business.

Areas of responsibility include:

Rental Program Development:

  • Develop, in partnership with Co-Executive Director – Operations + Business, the Powerhouse Rental Program to activate three event spaces at 322 Third Avenue: Grand Hall, Small Hall, The Loft
  • In partnership with the Co-Executive Director, develop and implement Powerhouse Rental program to activate three event spaces
  • Refine price lists, contracts, tech specs, policies, and procedures for a robust rental program set to launch Fall 2022
  • Design initiatives to drive new business
  • Collaborate with Community Engagement + Partnership Director on defining space-sharing protocols for internal and external events:
    • Propose and continually refine processes for determining timeframes for accepting rental events, internal programming being calendared, navigating space conflicts, etc.

Rental Operations, Finances, and Administration:

  • Create and maintain rental income and expense budgets, generating target level of sales and profits as set in annual budget
  • Maximize income and minimize expenditure without loss of quality in all areas of responsibility
  • Generate rental quotes, contracts/agreements, pro-forma, and final, invoices for clients
  • Receive and record payments
  • Work with insurance brokers and clients to negotiate insurance requirements for events
  • Work with event producers, PH architects, and expeditors to create and file Temporary Public Assembly drawings and fillings
  • Manage use of Ungerboeck software ensuring venue calendar and event details are up to date at all times

Client Management + Rental Program/Venue Marketing

  • Develop an outreach strategy for potential clients and vendor partners
  • Partner with external Event Marketing + Execution partner on event sales and calendarizing
  • Develop key accounts for the venue maximizing the external revenue potential
  • Respond in a timely manner to all inquiries
  • Conduct site visits with potential rental clients
  • Undertake regular benchmarking to stay abreast of industry developments
  • Develop relationships with rental clients, producers, artists, neighbor non-profits, and vendors (caterers, florists, stage lighting, audio/video, architects, etc.)
  • Working with the Marketing Team, propose and develop a series of marketing events, materials and ephemera related to the rental program, that could include printed materials, website language, etc.

Event Management

  • Partner with internal teams, and third-party event execution firm to manage day-to-day events operations, ensuring client’s satisfaction and repeat business
  • Lead regular event meetings with internal staff (and external partners, as required) to prepare for upcoming events
  • Provide instruction to Front-of-House teams, led by Senior House Manager
  • Ensure information for each event is distributed internally in a timely manner
  • Ensure Health + Safety, DOB, FDNY, and OSHA codes are always adhered to

Other Duties

  • At all times carry out duties and responsibilities with regard to Powerhouse’s Diversity, Equality, Inclusion, and Justice policies

Qualifications:

  • Proven track record and 10-years relevant experience in event sales and management
  • Previous venue experience
  • Strong understanding of event logistics, technical theatre & general operations, with the ability to handle unforeseen challenges
  • Excellent negotiation, communication, and interpersonal skills
  • Experience of setting and achieving high standards of customer service
  • Experience of financial management and budgeting events
  • MS Office, G-Mail, Box/Dropbox, and database management skills
  • Ability to work accurately under pressure with excellent attention to detail and ability to prioritize
  • Willing and able to work both strategically and be hands-on when required
  • Flexible approach to working hours
  • Experience of working in a performing or fine arts venue/organization
  • Knowledge of Ungerboeck Systems event systems/database
  • Technical Theatre, Catering experience

Salary: $126,000-$150,000 and commensurate with experience.
