Powerhouse Arts is a not-for-profit organization committed to creative expression. Housed in a purpose-built-facility in Brooklyn, the organization hosts an extended network of art and fabrication professionals and educators who work together to co-create and share artistic practices vital to the well-being of artists and the communities to which they serve. Our new facilities house fabrication services, production services, production spaces, and member workshops for artisans.

Powerhouse is seeking an Event Sales Director that will assist leadership with coordinating the on-site Event Rental Program, supporting all facets of Event Rentals from initial inquiries through event execution, and project closeout. The Event Sales Director will take full ownership of the Event Rental Program, overseeing all facets of Event Rentals from initial inquiry to event execution, and final closeout, cultivating and developing relationships with potential, and repeat, clients.  This role will generate a level of sales and profit as set in the annual budget by achieving high customer satisfaction and repeat business through excellent client management and customer service. Reporting to the Senior Vice President, the Events Sales Program Director will work closely with our Event Mtkg + Execution Partner (sales team), Event Production, Operations, Facilities, and Development teams to help execute events at PHA.

Responsibilities:

Client Management & Rental Program

  • Partner with external Event Marketing + Execution sales partner on event sales and calendarizing
  • Respond in a timely manner to internal and community event inquiries
  • Conduct site visits in partnership with external sales partner
  • Undertake regular benchmarking, attend industry events, and stay abreast of industry developments.
  • Prepare monthly income projections and space utilization reports for Leadership team review
  • Develop and maintain relationships with rental clients, producers, artists, neighbor non-profits, and vendors (caterers, florists, stage lighting, audio/video, architects, etc.)
  • Work with the communications team to coordinate marketing events, materials and ephemera related to the rental program, that could include printed materials, website language, etc.
  • For partnership events and subsidized rentals:
    • Conduct site visits
    • Work closely with leadership and development teams to determine cost structure, subsidies, and partnership opportunities
    • Execute quotes and agreements accurately and in a timely manner

Events & Database Management

  • Support internal Events Production and Operations teams, and third-party event sales and execution firm to manage day-to-day events operations, ensuring client’s satisfaction and repeat business.
  • Attend event meetings with internal staff and external partners to prepare for upcoming events
  • Assist Event Production & Operations Director in providing instruction and pass-on information to Artist Experience, Cleaning, and Security Teams as it relates to events
  • Ensure information for each event is distributed internally in a timely manner
  • Ensure Health + Safety, DOB, FDNY, and OSHA codes are always adhered as it relates to events
  • Take ownership of Event CRM + Venue Calendar Database: Ungerboeck Systems / Momentus:
    • Become the PHA business owner and super-user for the event/sales CRM database, ensuring the system is appropriately maintained and used to its full extent by Events, Operations, and Programming teams
    • Enter all client, event, and production details, updating regularly as information becomes available via client communications
    • Ensure a high level of data accuracy at all times
    • Collaborate with Tech Services and Momentus on:
      • Support needs, arranging/calendaring application upgrades/downtimes, etc.
      • Attend product development and roadmap/release info-sessions/seminars
      • Identify new, and ongoing, requirements to support business needs, including custom reports, dashboards, fields, etc.

Other Responsibilities:

  • Attend staff meetings and management training sessions

  • Highly organized and detail-oriented
  • Proactive problem solver and communicator
  • Solid written and verbal communication skills; Excellent proofreading skills
  • Significant experience writing and editing correspondence
  • Flexible, creative, organized, thorough, and resourceful
  • Fluent in G Suite, Microsoft Office Suite, Mac, and Dropbox platforms
  • Comfortable using and/or learning communication and project management tools such as Asana, RingCentral and Slack
  • Previous experience supporting senior executives and managing complex calendars is preferred, as well as the ability to work well under pressure in a busy and dynamic environment

Compensation & Benefits: Salary range is $95,000-$120,000 and commensurate with experience. Benefits include health insurance, an employer-sponsored retirement plan, generous paid vacation, and a Citibike membership.
