Events and Meeting App Coordinator
Job Description
Reporting to the Corporate Events Operations Manager, the candidate's primary responsibility is to assist with and maintain event deliverables using event technology.
The candidate will assist in areas of event operations including meeting app and registration website maintenance, attendee data support, and other functions across all events. Additional responsibilities include helping with attendee management issues, supporting department technology needs, working with event technology vendors and other event components.
This is not an event planner or programmer position. Travel is required approximately 20 percent of the time.
Key duties and responsibilities will include:
- Work with third-party vendors on the development of in-person and virtual event tools and apps to provide high-quality delivery of digital attendee experience.
- Serve as the main point of contact on meeting app deliverables; Follow-up on needed items for timelines; Support teams on app modules and usage.
- Assist with vendor onsite staffing including app help desk support, kiosks for electronic registration, print-on-demand badges, elections, departure notices, and other custom modules.
- Track and record app usage metrics to highlight app value/usage; Analyze results to recommend improvement to processes.
- Collaborate with team and other departments to identify and document business requirements for meeting registration and mobile app needs; Offer tangible solutions to meet objectives; Assist in resolving issues pertaining to meeting app, attendee management, and registration.
- Create and document best practices and solutions to accomplish business requirements.
- Develop meeting registration websites on STOVA platform including overall site design, primary attendee and guest registration paths, activities, webpage content, rooming, communications, and travel management; Provide stakeholders with timely response/status reports.
- Work with third-party technology vendors to ensure requirements for all NYL-approved Continuing Educational credits are met using meeting app; Oversee attendance tracking for Credits; Serve as department liaison to NYL Educational contacts for reporting compliance.
- Travel onsite to select events and assist with registration and electronic check-in, activity registration, app technology, etc.
- Support manager, team, and department in resolving event management issues pertaining to rooming, attendee management, registration, reporting, and other functions as requested.
This role requires a dynamic problem solver who is tech-savvy, extremely detail-oriented, driven, and a master at organization and follow-through. The successful candidate can juggle multiple projects, maintain composure under pressure, has a passion for learning new skills, and is an effective and collegial team player.
Required skills and qualifications:
- BA degree or equivalent experience
- 2-4 years of related work experience
- Customer Service oriented
- Must have excellent written and verbal communications skills and be able to negotiate with others
- Must have excellent project and time management skills and be able to manage multiple projects concurrently
- Must be a problem solver, requires conceptual thinking to develop solutions
- Attention to detail and accuracy is required
- Must be comfortable working as part of a team
- Must have ability to adapt to change on short notice
- Prior experience working in Events and Meetings industry is preferred
- Proficient in MS Office - Word, Excel, Outlook, and PowerPoint
- Familiarity/experience working with HTML, CSS, and basic graphic design skills
- Must have ability to travel to work onsite at events, when needed
