Events Coordinator
Job Description
AWM Events Team partners with AWM Business to deliver consistent, high-caliber, high-touch client events. Events focus on client acquisition, increasing flows, and building stronger client relationships while building our brand. The AM Events Team Analyst will have the opportunity to partner with AM event managers, marketing and the sales teams to support the business' events strategy. The Analyst will work on multiple projects simultaneously, ranging from large events to an intimate roundtable dinner, and AM Events priority projects. The Analyst will play a support role in event execution bringing creative ideas, suggested venues and proposed content to the market with strategic execution. In order to ensure a consistent and distinctive experience for clients, this role requires interaction with colleagues across the AWM Events Team globally, the Business, and Senior Management across JPMC. The role is based in New York City and is a full-time position.
Responsibilities
Provide support in all facets of daily business routine, while maintaining awareness of and sensitivity to confidential nature of clients and employees. Team member must be highly organized, competent in key administrative skills, well-spoken and comfortable in a fast-paced environment. The job requires interaction with colleagues on the Americas events, sales, marketing, and product teams, leading to events that increase client business, deepen existing client relationships, and maintain J.P. Morgan brand standards.
Essential Functions:• Supporting the team in delivering J.P. Morgan event standards and exceptional client experience at every event• Manage event supplies - order materials (name badges, inserts, banners, etc.), organize supply closets, keep inventory of supplies• Produce name badges, table tents and labels - merge, print, assemble• Process invoices, reconcile monthly financial statements/travel expenses (shared with other team members)• Order promotional items or event-specific supplies for events• Handle requests for internal space - be familiar with processes and space, research availability, reserve space• Coordinate shipping of materials to/from events• Support events onsite with registration, setup and assistance - greeting, transportation, etc.• Create and reconcile hotel rooming lists, travel reports, attendee lists• Help with agenda creation, prep content and partner with AV
- Work with design team to produce event materials
Qualifications• Strong proficiency with Microsoft Office Suite (Word, Excel and PowerPoint), MS Outlook, general comfort level with Internet/Intranet usage and ability to learn proprietary software• Excellent interpersonal skills, both written and oral• Self-starter, extremely organized and detailed-oriented with strong commitment to accuracy• Ability to multi-task and flexibility to manage changing priorities effectively• Good judgment and problem solving skills• Absolute discretion when dealing with confidential client details• Responsive and reliable• Ability to work both independently and as a team player• Exceptional follow-up and follow-through skills
