Events Coordinator, Partnerships & Strategy

Role and Responsibilities
The Events Coordinator will work within our Partnerships & Strategy team to provide administrative support across company events, both internal and external. The Events Coordinator will provide additional administrative support across our CRM system (Affinity) and relevant Partnerships activity.Â
Events Coordination (70%)
Back-End Event Planning and Coordination
- Coordinate with Partnerships Team to organize and maintain an annual calendar of proposed and confirmed marketing and fundraising events, potentially including in-person and virtual fundraising events, field building events and activities, partner dinners and events, informational and marketing events, programmatic events, external industry events and conferences, and internal events
- Lead scheduling for proposed events, coordinating with Partnerships Team, SF leadership, and key external stakeholders to align on dates and other details
- Coordinate and manage planning and logistics for events, developing and implementing detailed workplansÂ
- Coordinate with all internal and external stakeholders to implement successful events, potentially related to venues, speakers, food and beverage, audio/visual, seating charts, housing and transportation, promotional materials, and moreÂ
- Create and maintain lists of potential event participants; create and manage invitations (e.g., via PaperlessPost and other formats); where relevant, assist with placement and posting of event and registration information
- As relevant, ideate new ideas for potential events to engage with existing and potential new partners and field leaders
Event Preparation
- Assist team with scheduling and preparing speakers & help to identify, secure, and coordinate with staff, speakers, and special guests for each event
- Prepare materials for events, such as programs, signage, and gifts
- Coordinate with Communications team to ensure branding consistency across, for example, invitations, signage, press releases, banners, lanyards and name badges, notepads, folders, pens and manage the marketing inventory
- As relevant, partner with Communications team to help execute strategic digital marketing and communications campaigns delivered through a robust mix of channels
- Conduct research on event attendees, providing internal staff with key information prior to events
Physical Event Logistics
- Research and propose venue options for internal & external events
- Coordinate with internal team and on-site events teams to plan floorplans, A/V, staging, food & beverage for internal & external events
- Lead on-site event coordination as relevant, managing services, contractors, vendors, onsite staff, etc., while ensuring smooth event logistics, including but not limited to space set-up, food and beverage, transportation, checking guests in at the door, etc.
- Ensure signage and promotional materials are at event site and manage distribution
- Provide technical and administrative support to all teams, attendees and guests at on-site events
Event Follow-Up
- Process leads from events quickly to help ensure the success of each event
- Support Partnerships Team in event follow up, potentially including post-event promotion (e.g., blog posts)Â
- Provide post-event wrap ups, including final attendees, budget reconciliation, observations, suggestions for following year, event surveys and debriefs of the event/conference to the meeting venue
Administrative Support for Partnerships activity (15%)
- Coordinate physical and virtual mailings to current and prospective partnersÂ
- Support Partnerships Team in developing and tracking metrics for events and other Partnerships activities (e.g., mailings) to understand relative impact vs. cost and improve function over time
- Support administrative responsibilities associated with Social Finance’s Leadership Council (e.g., annual gifts, scheduling)
- Conduct research, as relevant, on other prospective partners including backgrounds and philanthropic priorities, and support Partnerships team in documenting information on prospects in an organized and accessible manner
- Prepare donor acknowledgement letters
CRM Administration (15%)
- Become a trained "super user" of our CRM, alongside a few other staff with administrative permissions. Responsibilities might include:
- Address questions from teammates as they ariseÂ
- Support teams in leveraging the CRM to meet their needs, such as building dashboardsÂ
- Add and remove colleagues that join or leave Social Finance
- Liaise with CRMÂ vendor (Affinity) to organize trainings for new teammates, troubleshoot questions, support team needs, and other issues as needed
Qualifications
We are looking for entrepreneurial candidates with flexibility, aptitude and passion for our mission. Candidate requirements:
- 2 – 5 years of demonstrated event coordination experience, with some preference for experience in nonprofit eventsÂ
- Strong and proactive project management and solutions-oriented, collaborative, detailed and highly communicative planning process
- Motivated, self-starter, ability to work independently while coordinating the project plans with the teamsÂ
- Demonstrate leadership, influencing, negotiation and decision-making skills
- Ability to build both internal and external relationships to drive forward projects
- Superior attention to detail, organization, discretion and sound judgment
- Ability to lift 40lbs (for promotional materials etc.)
- Potential for 5% - 10% travel within the US
- Strong written and verbal communication skillsÂ
- Experience with working across multiple priorities simultaneouslyÂ
- Demonstrated ability to prioritize tasks and meet deadlines; to work independently; to stay organized and poised under pressure
- Comfort in a team-based and fast-changing environment
- Commitment to enhancing a team culture of inclusion, belonging and equity
- Proficiency with Microsoft Office, Google Suite, and Zoom, familiarity with CRM systems a plus Â

Salary
Social Finance uses a lockstep compensation model for purposes of equity and transparency - we strive for everyone coming in at a given level to be paid equitably. For this position, at the Events Coordinator level, the starting base salary is $65,000; however, during the interview process, we will take into account a candidate's full work experience and may adjust the job title, and commensurate starting salary, as appropriate. At this level, employees receive an automatic $2,500 adjustment annually and a bonus of 5-10%.
