Events Manager
Job Description
The NMAAM Events Manager will sell, oversee and manage all contracted museum events. The candidate will ensure events are successful and cost-effective, paying attention to budget, time constraints and museum guidelines. The NMAAM Events Manager is, above all, a project manager who understands marketing and sales techniques. Key skills include generating fresh ideas and being organized. Compensation for this position is base plus commission.
NMAAM is the only museum dedicated to preserving the legacy and celebrating the accomplishments of the many music genres created, influenced, or inspired by African Americans. The Museum will share the story of the American Soundtrack, integrating history and interactive technology to bring the musical heroes of the past into the present.
Base Compensation:
The base salary range for this role is $2,041.67 to $2,250.00 per semi-monthly pay period which annualizes to $49,000 to $54,000 per year. The commission plan will be discussed after initial interviews.
Essential Duties and Responsibilities:
- Lead event activation and all client services
- Maintain organized and up to date Events Calendar
- Participate in event turnover with Events team
- Interact with and develop relationship with client from the point of introduction
- Maintain correspondence with client throughout event preparation and execution to ensure client’s needs are met and exceeded
- Plan event from start to finish according to requirements, target audience and objectives
- Conduct client and vendor pre-event walkthroughs as needed
- Make suggestions to enhance the event’s success
- Prepare budgets and ensure adherence
- Source and negotiate with vendors and suppliers
- Manage and coordinate 3rd party personnel (DJs, servers, etc.)
- Manage and coordinate all operations and communicate event details to all necessary Museum Departments
- Supervise all staff (event coordinators, caterers etc.)
- Approve all aspects before the day of the event
- Create and distribute Event Specifications Guide to clients, vendors and all appropriate Museum departments
- Coordinate loading dock schedule
- Coordinate security needs with NMAAM security team
- Ensure event is completed smoothly and step up to resolve any problems that might occur
- Together with the Event Sales Manager, analyze the event’s success and prepare reports
Education and Experience:
- High school diploma or equivalent; bachelor’s degree in marketing, hospitality, event management, or related field preferred
- 3+ years of event sales, service and planning experience gained in a fast-paced hospitality environment
- Skilled in project management
- Knowledge of KPIs and marketing techniques for event management
- Computer savvy; proficient in MS Office; Altru experience a plus
