POSITION SUMMARY

As the Events Specialist, Meetings and Events, you will be responsible for assisting the Director, Meetings and Events with all events and tradeshows (in-person and virtual). You will work closely with colleagues across Marketing and Solution Management, Talent, Learning and Development and Communications.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Coordinate and manage all determined on-site meetings and events held at the corporate office. This includes organizing and managing set-up of rooms, order catering and ensure audio visual is in room.
  • Work with 3rd party hotel partners to select appropriate local hotel for partnership for local guestroom blocks.
  • Work with local catering partners to select appropriate meals for attendee events.
  • Work with local transportation company to start relationship for local attendee needs.
  • Become an expert on all local venues for potential off-site dinners and activities, keeping up to date on all new openings and closings.
  • Consider and implement innovative solutions to enhance the impact of an event.
  • Work with Director, Meetings and Events to oversee all pre-event checklist items, including hotel rooming list, distributing confirmations numbers, and other related tasks.
  • Partner with Talent, Learning and Development on all training sessions, both local and off-site to ensure event operates smoothly and meets objectives.
  • Manage training/meeting space at Corporate office ensuring the room is organized and fully stocked for planned events.
  • Pursue continuing education/growth opportunities to ensure best-practice strategies and tactics are applied to both events and trade shows.
  • Accompanying Director, Meetings and Events to both internal and external events
  • Promoting events across all social media platforms
  • Supporting the Director, Meetings and Events with logistical and administrative support
  • Maintaining records of all bookings e.g. venue and catering events.
  • Assisting with creative decisions
  • Attending all meetings to act as a second point of contact.
  • Helping set up and dismantle events efficiently through to completion.
  • Ensuring all necessary items for events arrive on time.
  • Coordinate and manage trade shows (in-person, virtual and hybrid and align trade show activity with department and company goals.
  • Work with show planners to select space, coordinate equipment/booth delivery, set-up and breakdown. Manage vendor relationships as needed, including contract negotiations.
  • Develop comprehensive event project plan to include staffing/attendee selection, product/service mix, setup tasks, travel/hotel needs, collateral needs, and other supporting materials. Conduct pre-show webinar with Agiliti attendees.
  • Manage and track trade show budget, collaborating with management and department leadership to develop budget proposals.
  • Other duties as assigned.

REQUIRED EXPERIENCE

  • Educated to A-Level standard. A degree is desirable, but not essential.
  • One to three years' experience as an events, catering or trade show manager/assistant.
  • Highly engaging with excellent interpersonal skills and ability to perform under pressure. A self-starter who thrives in complex, challenging environments.
  • Strong organizational and time-management skills; ability to work independently or in a team atmosphere.

REQUIRED SKILLS AND ABILITIES

  • Ability to travel frequently; 10-20% of the year (5-10 weeks)
  • Willingness to work outside of normal business hours, including weekends while traveling.
  • Strong project management skills, creative thinking, and analytical problem-solving skills.
  • Strong attention to detail; ability to multitask and manage priorities to meet deadlines.
  • Demonstrates professionalism at all times.
  • Good computer skills: proficiency in Microsoft Suite (Outlook, Word, Excel and PowerPoint).
  • Team player that is reliable, flexible, positive, helpful and works well in a collaborative environment.

The salary range for this position based on the MN range is $45,011-$71,070 and represents the low and high end of the Agiliti pay range for this position. This base salary range information is based on the market location shown. The actual pay offered may vary depending on several factors including geographic location, experience, job-related knowledge, skills, and related factors.
