Position Summary
As a key member of the US Angitia team, the Executive Administrative Assistant (EAA) will be primarily responsible for the administrative support activities of the company’s US team as well as the executive team.
The administrative work assignments will be complex in nature and will require absolute discretion and confidentiality, as well as considerable tact, judgment, creativity, and initiative in resolving issues. The EAA must also be able to manage multiple priorities in a continually changing environment. The ideal candidate will excel in a fast-paced environment, possess excellent communication and organizational skills, and be adept at managing multiple tasks efficiently.
Responsibilities include, but are not limited to the following:
- Proactively manage the executives’ calendars with a focus on efficient time utilization and time conflict management, ensuring that staff are appropriately represented at all forums.
- Answer questions/furnish information to keep the executive's time free of minor detail work, including screening certain meeting requests.
- Timely prepare and process expense reports for executives.
- Facilitate submitting documentation including, but not limited to confidential disclosure agreements (CDAs) and consulting services agreements (CSAs) and manage related invoice submissions for executives.
- Coordinate business travel arrangements amidst dynamic business requirements for executives, including purchasing tickets & reserving hotel rooms, completing registrations for conferences, etc.
- Coordinate arrangements for and execute key tasks to effectively manage a variety of business meetings while maintaining a keen awareness of and sensitivity to global time zones, incl scheduling, drafting slides and taking minutes, etc.
- Schedule, coordinate, and track events reflected on engagement plan, including team buildings and special events.
- Go into Woodland Hills office weekly to check mail and ensure office equipment is functioning properly.
- Purchase and (re)stock office necessities for Woodland Hills office including water delivery, snacks, office supplies, and as needed coordinate with IT to update and keep AV and internet services running smoothly.
- Effectively manage office related suppliers to ensure they provide high quality services.
- Coordinate office maintenance and repairs to ensure a safe and functional work environment.
- Perform other duties requested.
Education & qualifications:
Basic Qualifications:
- Bachelor's degree & 3 years of Administrative experience
- Associate's degree & 5 years of Administrative experience
Preferred Qualifications:
- Ability to project a highly professional image consistent with dealing with executives
- Executive assistance experience in calendar management, domestic/international travel strongly preferred.
- Ability to work with non-paper-based media including SharePoint, Box, MS Teams etc., to ensure that executives have required pre-read and briefing materials in a convenient format, if applicable
- Exceptional communication skills (oral and written)
- Flexibility amidst rapidly changing meeting and travel requirements
- Self-starter who can function autonomously
- Ability to pay close attention to details and manage several projects simultaneously
- Positive, collaborative, can-do attitude and team-centric approach
- Highly responsive, able to work in a dynamic and fast-paced environment, work with deadlines and show accountability.
Salary range:$60,000 - $75,000
Exact compensation may vary based on skills and experience.
