Summary/objective:
The Executive Administrative Assistant provides personalized administrative support in a well-organized and timely manner. Acting as the primary point of contact for internal and external constituencies on all matters pertaining to the executive, the EA handles confidential matters with discretion and demonstrates a high level of professionalism.
Essential functions
- Manage the executive's calendar, including scheduling meetings, conferences, and appointments. Handle changes or conflicts efficiently.
- Serve as a liaison for the executive, handling calls, emails, and requests, and ensuring timely responses.
- Draft memos, letters, presentations, and reports on behalf of the executive.
- Coordinate travel logistics, including flight bookings, accommodations, and itinerary planning.
- Organize and prepare materials for meetings, take minutes, and ensure follow-ups on action items.
- Handle all information in a confidential and discreet manner, especially sensitive company and personal data.
- Assist in planning and executing projects as assigned by the executive.
- Conduct in-depth research on various topics as required, providing summaries and insights.
- Manage and track expenses, ensuring timely submissions and reconciliations.
- Foster positive relationships with business partners, stakeholders, and other staff.
- Handle personal tasks for the executive as needed (e.g., reservations, personal appointments).

Required education and experience
- Bachelor’s Degree or equivalent in a related field or equivalent work experience.
- 1-3 years of admin experience
Preferred education and experience
- 3+ years of experience
- Experience working in media and film
