Location & Flexibility

The Opportunity

As an Executive Administrative Partner at WillowTree, you will support C-Suite executives to ensure alignment on priorities and deliverables, while ensuring the smooth execution of day-to-day administrative operations. You are a force multiplier, you anticipate needs and identify potential problems before they arise, enabling your executives and other team members to do more with their time. In addition to being organized and analytical, you possess strong business judgment and communication skills.

Responsibilities
  • You’ll have the opportunity to think creatively to improve or suggest new processes for the team by identifying areas for improvement and then executing a solution.
  • Manage multiple executive schedules, identifying friction points or potential scheduling conflicts and resolve them before they even happen.
  • Help drive your Executive’s initiatives and goals by ensuring your executive’s time is aligned with their priorities and keep track of progress across multiple projects
  • Collaborate cross-functionally to organize internal events, client visits, and company meetings from pre-planning to coordinating event logistics to execution.
  • Work independently and interdependently with shifting priorities. You have the flexibility to quickly adjust to ever-changing priorities.
  • Work with other parts of the Admin and Employee Experience teams on projects to ensure WillowTree is running smoothly behind the scenes.
  • Manage domestic and international travel arrangements; prepare detailed travel itineraries inclusive of flights, visas, hotels, meeting agendas, etc.
  • Manage monthly expense reports 
  • Manage confidential information with care and discretion
Qualifications/Skills
  • 4 years minimum with executive administrative experience. You are an independent and creative thinker who can get things done.
  • Excellent communication skills, both written and oral.
  • Proficiency with G-Suite (including Google Calendars) and Office 365 software.
  • Proactive, helpful, can-do attitude. You get a kick out of taking care of things the right way the first time.
  • Feel comfortable managing multiple priorities and ambiguity.
  • Exceptional organizational skills. You are one of those people who says, "I'll take care of it" and everybody knows that you will.
  • Bonus points for experience managing events or booking logistics associated with travel
  • Ability to function well in a high-paced and at times stressful environment.
