Job Description**Role is onsite in Palm Beach Gardens, FL**
Are you a detail-oriented and highly organized individual with a passion for providing top-notch legal administrative support? We are seeking a dynamic Legal Administrative Support Specialist to join our team at our corporate headquarters in Palm Beach Gardens, FL. In this role, you will play a crucial part in ensuring the smooth functioning of our legal department by handling various administrative tasks with precision and efficiency.
Responsibilities:
Document Preparation and Editing:
- Prepare and edit legal documents with meticulous attention to detail.
- Utilize Microsoft Word, PowerPoint, and Excel to create and modify materials.
Calendar Management:
- Keep calendars up-to-date, scheduling and coordinating meetings, conference calls, and events.
Expense Reporting:
- Prepare and submit accurate and timely expense reports.
Legal Billing:
- Maintain the computerized legal billing system, ensuring accuracy for internal and external billing needs.
- Process invoices for professional services, coordinating with Accounts Payable.
E-Billing Program Management:
- Manage the e-billing program for outside legal and professional services.
- Onboard new users and foster relationships with existing partners.
Agreement Management:
- File signed agreements appropriately, track existing, in-process, and expired agreements using Excel.
- Research databases for signed agreements and provide information as needed.
Record Keeping:
- Create, organize, and maintain legal records, books, and files.
- Ensure proper indexing and filing of legal documents.
Corporate Governance:
- Assist with corporate governance and legal entity maintenance, both domestic and foreign.
- Manage document progress, notarizations, apostille processes, and certifications.
Board Support:
- Assist in preparing Board minutes, complex Board presentations, and planning meetings and calls.
Communication and Coordination:
- Coordinate and effectively communicate with business teams and all members of the legal department.
- Track work assignments and update databases as required.
Qualifications:
- Proven experience in legal administrative support roles.
- Strong proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Exceptional organizational and multitasking abilities.
- Excellent communication skills and the ability to work collaboratively.

Qualifications- Associate or Bachelor’s degree is preferred
- 3 years in an equivalent role in a similar corporate operating environment
- Excellent computer skills using MS Word, Excel, PowerPoint and other MS Office products, as well as Adobe Acrobat
- Fully proficient using Outlook, Concur and e-billing invoice management systems
- Independent and self-motivated with a strong work ethic and high work standards, including special attention to detail, accuracy and an emphasis on meeting deadlines
- Must possess excellent oral and written communication skills to communicate with all levels of the organization in a thoughtful and compelling manner
- Must exhibit a high level of discretion, professionalism, maturity, and integrity.
- Must be able to prioritize multiple assignments with time sensitive deadlines
