BASIC PURPOSE: Assists senior leadership staff for the Information Technology department by addressing and resolving diverse and advanced duties, tasks, projects, and problems. Must be an adaptable self-starter with ability to work independently and with co-workers. Must be resourceful, have ability to use good judgment, possess knowledge of business etiquette, and be skilled in anticipating executive needs at a management level. Must be able to prioritize work, solve problems and organize own time with minimal supervision. Duties include data analysis and reporting, process administration and facilitation, project tasks, administrative tasks, and general clerical responsibilities.

MAJOR RESPONSIBILITIES:

  • Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, as well as consultants, to coordinate a variety of complex executive meetings.
  • Assemble, maintain, and publish departmental reports such as organization charts, floor plans, space utilization, headcount tracking, and reconciliation spreadsheets.
  • Facilitate administrative processes for the department such as recruiting and on-boarding, intern management, expense tracking, supply ordering.
  • Act as a "solution finder"; chasing down problems, determining root causes, and putting permanent solutions in place.
  • Perform various cost tracking administrative functions and analysis, whether inside or outside of the executive department.
  • Interface with internal and external parties for Executive through written and phone correspondence and administrative meetings as required.
  • Assist in the timely management of all communications with a variety of people, whether written or via telephone, e-mail, and voicemail.
  • Compose agendas, presentations, letters, and statements; monitor and follow-up with all distributions that require answers, responses and written replies.
  • Demonstrate a high degree of professionalism, initiative, and independence in supporting a wide variety of complex issues among diverse groups of people within the organization.
  • Work independently or assist in gathering and analyzing data, and assembling it appropriately for use in project evaluations, meetings, or presentations.
  • Create, maintain, and deliver routine administrative and financial management reports as assigned.
  • Use discretion and independent judgement in developing enhancements to efficient and effectiveness of department.
  • Arrange travel for Executives as well as for the IT department.
  • Event planning
  • Identify and assess potential opportunities for improvement.
  • Collaborate with various departments as needed for process optimization.
  • Assist with updates and inquiries to various corporate guidelines, policies, and procedures.
  • Maintain data and files as assigned.
  • Meet daily, weekly, and monthly deadlines.
  • Other functions and duties as assigned.

EDUCATION AND EXPERIENCE:

  • Education:
    • Associates Degree or equivalent required
    • Bachelor's Degree a plus
  • Experience:
    • 4 years of experience in similar role

SKILLS AND PHYSICAL DEMANDS:

  • Skills:
    • People / interpersonal skills, customer focus
    • Computer system skills, Microsoft Office (heavy Excel), Visio, PowerPoint, and SharePoint, Typing (60+ wpm)
    • Research, data analysis and report preparation skills

  • Typical Physical Demands:
    • Requires prolonged sitting, some bending and stooping.
    • Occasional lifting up to 25 pounds.
    • Manual dexterity sufficient to operate a computer keyboard and calculator.
    • Requires normal range of hearing and vision.
